Offer general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone. Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way. Undertake a variety of administrative duties to assist in the smooth running of the practice, including the provision of secretarial and clerical support to clinical staff and other members of the Practice team. Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies.

Main duties of the job

  • Provide friendly and efficient reception services to patients and visitors to the practice, both at reception and on the telephone.
  • Effectively handle messages as part of the healthcare team.
  • Use the practice computer system (Systm One) to register patients (including temporary patients), make appointments, prepare repeat prescriptions, and update patient data, in accordance with Practice procedures.
  • Action pathology results received over the electronic link in accordance with Practice procedures.
  • Maintain accurate filing systems for patient medical records, clinical and non-clinical correspondence.
  • Action tasks as requested by the GP in accordance with Practice procedure.
  • Read code correspondence into patients' computerised records.
  • Scan incoming mail into patients' records in accordance with the Practice procedure.
  • Report complaints, comments and significant incidents from patients, visitors and staff to the Practice Manager in compliance with Practice policy.

No direct budgetary responsibility, although an awareness of cost implications and the effective use of resources is required.

Job responsibilities

The purpose of the role is to:

  • Undertake a variety of administrative duties to assist in the smooth running of the Practice, including the provision of secretarial and clerical support to clinical staff and other members of the Practice team.
  • Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies.

Contribution to the implementation of services:

  • Apply Practice policies, standards and guidance.
  • Discuss with other members of the team how the policies, standards and guidelines will affect own work.
  • Participate in audit where appropriate.

Job Types: Full-time, 4x days per week (Tuesday's off preferable)
Salary: From £12.71 per hour
Company benefits: Pension, wellbeing policy for medical and dental appointments, on-site parking, sick pay.

Schedule: Monday, Wednesday and Friday from 08:30 - 18:00; Thursday from 08:30 - 18:30. If wanting 37.5 hours, would adjust the working pattern.

Person Specification

  • Good level of education.
  • Computer/IT Skills.
  • Good communication skills - written and verbal.
  • Ability to prioritise tasks and work under pressure.
  • Confidential and positive manner.
  • Willing to learn new skills and rise to new challenges.
  • Able to work between 8.30am - 6.30pm.
  • Experience of working in the NHS.
  • Knowledge of medical terminology.
