The Role
This role provides efficient administrative and coordination support to the Health, Safety and Wellbeing (HSW) team, ensuring accurate record keeping, effective communication, timely reporting and the secure management of sensitive information across the project.

Key Responsibilities

  • Maintain accurate HSW records, databases, incident logs and filing systems, ensuring documentation is completed, securely stored and readily available when required.
  • Manage confidential health, safety and wellbeing information in line with joint venture’s procedures and data protection requirements.
  • Collate, record and analyse data relating to incidents, accidents, near misses, safety observations, positive interventions and inspections.
  • Produce clear and timely reports for operational teams, senior management, client reporting and wider HSW governance requirements.
  • Support the preparation, coordination and distribution of HSW communications, safety briefings, toolbox talks, notices and alerts.
  • Coordinate HSW meetings, including arranging logistics, preparing materials and presentations, and supporting follow-up actions where required.
  • Monitor shared mailboxes, respond to routine HSW enquiries and act as a point of contact for administrative HSW matters.
  • Assist with the administration of investigations, action tracking, information requests and the secure collation of supporting data for insurance claims.
  • Liaise professionally with operational teams, managers, subcontractors, clients and the training team to support effective HSW coordination.
  • Support the HSW Lead and wider HSW team with day-to-day administration, coordination activities and continuous improvement initiatives.
  • Undertake additional administrative and coordination duties as reasonably required by the project.
  • Process, collation and secure storage of sensitive data and other information for insurance claims.

Essential Skills & Experience:

  • Previous experience in a H&S role
  • Good understanding of H&S legislation relevant to construction industry
  • MS package knowledge (Outlook, Excel, Word, Visio)
