Bouclème is a rapidly growing, niche hair care brand, expanding from the UK to international markets with ambitious plans over the next few years. We’re looking for a dynamic Operations Manager (entry-mid level) with bags of initiative and great problem-solving abilities to join our fast-paced team. The successful candidate will be an expert in NPD, supply chain, logistics and stock management. We’re looking for someone knowledgeable on systems, with good analytical skills, efficient and a can-do attitude.
Role Responsibilities of our Operations Manager
- Stock Management
- Creating annual and quarterly demand forecast
- Reporting and monitoring stock levels for product, componentry and packaging and comparing to sales trends
- Ensuring optimum stock levels balancing service/fill rates versus stock holding costs
- Report against agreed KPIs for service and cost
- Setting reorder levels by SKU that incorporate lead times and demand (rate of sales)
- Placing purchase orders with suppliers as required to maintain stock levels, ensuring on-time delivery and receipting
- Manage relationships with key suppliers per contract, share forecasts with key suppliers to assist their planning
- Verify inbound goods received and confirm to bookkeeper for payment of invoices
- Manage Kitting Forecasts and production orders
- Planning and managing intra warehouse deliveries to ensure right stock levels in each
- Sourcing and Procurement
- Sourcing of products, componentry and accessories to obtain best value in marketplace
- Re-procurement of existing products to ensure most preferable terms obtained
- Ongoing management of key product suppliers (contract, orders, on-time deliveries, quality) including Contract Manufacturers
- NPD Sourcing Activities
- Maintain relationships with raw material suppliers for updates on innovation
- Source and order componentry from suppliers
- Place stock order with manufacturer to fit within launch timeline (min 10 weeks before launch date)
- Ensure product is set up on all registration bodies for EU and UK
- Maintenance of Standard Costs
- Quarterly process to update standard costs based
- Management of 3rd party logistics provider (UK, EU, US)
- Overall contract management of 3PLs including KPI performance and budget
- Represent internal customers (Sales Operations and Head of eCommerce in raising performance issues for B2B and B2C orders respectively
- Validation of invoices and negotiation of costs for project services
- Lead periodic contract reviews
- Reporting
- Responsible for producing the following Management Reports
- Weekly Stock Status Report (Including stock versus re-order point and forecast, stockout alerts and days sales outstanding)
- Monthly Logistics Cost KPIs showing (by Warehouse Handling and Shipping costs per order for B2B and B2C)
- Processes and Systems
- Development of Stock Management processes and systems
- Ongoing management of performance issues and proactive identification of improvements
- Implementation of solutions
- B2B Order Management
- Develop productive relationships with existing and new retail and distribution partners
- Close, proactive working with Sales Team
- Daily check of Shopify, orders@ email and customer order systems for new orders:
- Process B2B orders from receipt to proof of delivery including:
- Resolving order issues with customer (non-availability, bookings etc)
- Resolving post delivery issues with customers, raise cases and claims with 3PL shortages, late delivery, penalties
- Ensure invoices raised in timely manner and verify invoices received by customer
- New Customer Onboarding with Sales to support and manage the onboarding process for new B2B Customers
- Manage Amazon UK order processing ensuring all orders correctly invoiced
- Managing any deductions/shortage claims with 3PL and sign off
- Liaise with Finance team on raising of credit notes
Fluent in English, both written and spoken language. Self-motivated, pro-active and positive, able to pre-empt actions required and act accordingly. Ability to remain objective when dealing with issues. Patient; as the solutions/negotiations can take time. Excellent administration, communication and engagement skills. Excellent organisational skills with flexibility to manage multiple tasks, and flexibility to deal with changing priorities of a busy and varied workload. Excellent time management skills and ability to work to and meet deadlines. Ability to work on own initiative, taking the lead and ownership for office-related projects, stepping away from routine when the pressure is on. Flexible and adaptable team player with the ability to work well in a fast-paced environment. Team player with a flexible approach, and willingness to get involved to help the team. Ability to deal with internal team and external customers and third parties with confidence and diplomacy. Excellent attention to detail and the ability to research and collate information to produce quality documentation. Good IT skills and a competent user of Microsoft Excel and Outlook.
