What You'll Do
The IT Asset Management (ITAM) Process Owner is accountable for the end-to-end design, governance, automation, and performance of the ITAM lifecycle across BCG. This role establishes clear ownership, drives process consistency and compliance, and ensures ITAM reliably supports financial, risk, security, and user productivity outcomes. The ITAM Process Owner defines the “what” and the “why” of the ITAM capability; including lifecycle workflows, governance standards, automation priorities, and measurable outcomes in close partnership with the ServiceNow / platform engineering team, which owns the technical “how.” This role is positioned as a global transformation leader accountable for measurable business value, including capital efficiency, audit defensibility, and risk reduction, not solely operational process management. The ITAM Process Owner works closely and continuously with Information Security Risk Management (ISRM), including Security Governance, Risk, and Architecture teams, to ensure asset lifecycle processes and data management practices align with BCG’s security policies, control frameworks, and audit requirements.
Key Responsibilities
- Process Ownership, Governance & Global Standardization
- Own the end-to-end ITAM lifecycle (Plan & Forecast, Order & Procure, Acquire & Deploy, Monitor & Manage, Retire, Dispose)
- Define and maintain global ITAM process standards, policies, and documentation
- Establish and enforce governance, decision rights, and escalation paths
- Act as the single point of accountability for ITAM performance and maturity
- Define the scope of ITAM coverage (e.g., laptops, peripherals, asset classes)
- Establish policies for lost/stolen assets, asset recovery, and disposal compliance
- Ensure alignment with Finance and Security (e.g., capitalization rules, audit controls)
- Establish and enforce a single global ITAM standard across regions, eliminating local process variation and ensuring consistent execution
- Ensure ITAM lifecycle processes, data standards, and operational controls align with established security policies, standards, and regulatory requirements defined by ISRM and BCG’s Information Security Management System
- Automation Mandate
- Own the mandate to eliminate manual ITAM activities through workflow automation and system integration
- Drive implementation of mobile asset scanning, automated receiving, automated reclamation, automated disposal workflows, and API-driven integrations with Coupa, Workday, discovery tools, and vendors
- Be accountable for measurable reduction in manual uploads, spreadsheet reliance, reconciliation effort, and swivel-chair processes
- Ensure “dock-to-disposal” lifecycle automation is embedded in ServiceNow to enable real-time asset visibility
- Stockroom & Capital Optimization Strategy
- Own and enforce capital efficiency levers across the ITAM lifecycle, including:
- First-In, First-Out (FIFO) stock enforcement
- Stockroom threshold configuration and governance
- Shelf-dwell reduction targets
- Redeployment and reuse rate targets
- Asset recovery compliance metrics
- Be accountable for reducing excess purchasing, idle inventory, and stock aging through policy and system controls
- Partner with Finance to ensure ITAM data supports capital planning accuracy, forecasting discipline, and budget optimization
- Capability & Product Ownership (ServiceNow / ITAM Platform)
- Define the functional roadmap for ITAM within ServiceNow, including lifecycle workflows, automation priorities, and integration sequencing
- Own and prioritize the ITAM backlog
- Approve lifecycle-related configuration changes that impact governance and process integrity
- Ensure integrations (Workday, Coupa, discovery tools, CMDB, etc.) enable true end-to-end lifecycle visibility
- Define reporting and dashboard requirements for Finance, ITS, and leadership
- Be accountable for measurable outcomes (compliance, reuse rates, cost avoidance), not just system activity
- Software Asset Management (SAM) & Software Risk
- Expand ITAM scope to include proactive Software Asset Management (SAM) governance and risk mitigation
- Own software license compliance posture
- Own SaaS shadow IT detection and mitigation
- Ensure Effective License Position (ELP) accuracy
- Drive license reclamation automation
- Ensure audit defensibility for major publishers (e.g., Microsoft, Oracle, SAP, Adobe)
- Align entitlement records with procurement and usage data
- Partner with Security and Risk to mitigate regulatory and contractual exposure related to software compliance
- Partner closely with ISRM teams to ensure software asset management practices support vulnerability management, compliance monitoring, and security audit readiness
- CMDB & Data Stewardship
- Define service offerings and critical dependencies mapped in the CMDB
- Ensure ITAM and CMDB data reflects operational reality (e.g., asset criticality, ownership, lifecycle status)
- Validate impact analysis used during Change Management
- Act as first line of defense against data decay by investigating alerts and errors
- Serve as gatekeeper for manual and bulk data updates
- Reconcile discrepancies between discovery, purchasing, and lifecycle data
- Process and validate bulk imports (ASNs, disposal certificates, vendor feeds)
- Identify and remediate stale, missing, or duplicate records
- Translate raw CMDB and ITAM data into actionable insights for leadership
- Be accountable for achieving and sustaining high-confidence asset data accuracy
- Ensure asset data integrity supports security monitoring, device accountability, and audit-ready asset inventories required for regulatory and client assurance obligations

- Drive global adoption and compliance
- Partner with regional ITS leadership to resolve execution gaps
- Lead change management initiatives to ensure process adherence
- Ensure ITAM becomes an enforced global standard, not a best-effort regional practice
- Data, Metrics & Business Outcomes
- Define and track ITAM KPIs: Data accuracy, Recovery timelines, Reuse/redeployment rates, Stock aging, Forecast accuracy, License reclamation rate, Disposal compliance, Ensure asset data is audit-ready and compliant
- Deliver quantifiable financial value tied directly to ITAM performance, including: Reduced excess purchasing, Increased asset reuse, Improved recovery compliance, Software cost avoidance, Reduced audit exposure, Support enterprise security posture by ensuring ITAM contributes to accurate asset inventories, lifecycle traceability, and compliance with internal and external security audits

Required Experience & Skills
- Experience in IT Asset Management, Service Management, lifecycle governance, or enterprise process ownership
