BCG Institute is looking for a Global Operations Coordinator to join our global operations team. This role will include responsibilities across people operations, recruiting, finance administration, internal communications, and leadership team support. You will work closely with the BCG Institute's Executive Director and Global Project Manager, providing reliable support across the Institute's end‑to‑end operations.
The ideal candidate brings 2 to 4 years of experience in an operations or project support role, has strong attention to detail, is comfortable with financial processes, learning new AI tools and processes, and is a great communicator. A proactive, ownership‑driven mindset is essential —this is a hands‑on role where initiative and reliability are a must. Experience in professional services or a knowledge‑intensive environment is a plus, as is familiarity with tools such as Excel and the full Microsoft Suite.
Key Responsibilities
- People Operations and Ambassador Programme
- Own the day‑to‑day coordination of the Ambassador recruiting and onboarding process, including managing and tracking applicant stages and communications throughout the cycle.
- Run weekly check‑ins with BCG Institute's People Chair and Executive Director, coordinating follow‑ups.
- Run standard onboarding processes end‑to‑end (welcome emails, onboarding packages, quarterly onboarding calls, maintain distribution lists, enable access to relevant systems i.e. SharePoint, Slack and AI tools).
- Manage BCG IT systems relevant to the people programme (Pathways and others).
- Coordinate with Global Mobility to set up transfer and secondment memos.
- Support recruiting logistics, including candidate communications, scheduling, and tracking.
- Help prepare and maintain recruiting and onboarding decks, keeping them current each cycle.
- Finance and Vendor Administration
- Manage the end‑to‑end invoice payment process, including vendor onboarding into Coupa, invoice receipt and quality control, and processing with Accounts Payable.
- Manage opening and closing of case codes.
- Partner with Institute leadership on the annual budgeting process and support preparation of materials for leadership discussions.
- Share monthly spend dashboards and variance tracking with team leads to enable forward planning.
- Business partner with team leads to track year‑to‑date spend against expected spend throughout the year.
- Support tracking and discipline around travel and expenses.
- Project and Operations Support
- Support day‑to‑day project coordination across multiple workstreams including Institute events i.e. summits, client events.
- Maintain master planning and tracking documents (rooms, catering, travel, logistics).
- Provide operational support for BCG Institute events, including preparing briefing documents, agendas, and run‑of‑show materials.
- Support process improvement initiatives, including simplifying internal workflows and AI enablement.
- Leadership Support
- Support operations of the Institute's Leadership Team including preparations for Townhalls and Leadership Team Meetings—including administrative logistics i.e. catering, room bookings, etc.
- Provide administrative support to select LT members on an as‑needed basis.
- Communications
- Draft, structure, and format PowerPoint presentations for internal and external audiences.
- Assist with internal communications and preparation for townhalls and all‑hands sessions.
- Track progress on team‑wide priorities and KPIs.
What You'll Bring
- 2 to 4 years of experience in an operations, project coordination, or administrative support role, ideally within a professional services or knowledge‑intensive environment.
- Strong attention to detail and a track record of accuracy in fast‑moving, multi‑tasking environments.
- Excellent written and verbal communication skills in English.
- Comfortable managing financial processes and working with numbers (budget tracking, invoicing, expense management).
- Proficiency in Microsoft Office suite; experience with tools such as Coupa, Workday, or Pathways is a plus. Strong interest in learning new AI tools essential. Working knowledge of AI platforms Claude, ChatGPT a plus.
- A proactive, self‑starter mindset — able to anticipate needs, ask the right questions, and take ownership.
- Discretion and good judgement when handling sensitive information.
- Experience working with international or cross‑functional teams is an advantage.
You will work closely with the Executive Director and Global Project Manager, collaborating regularly with BCG Institute Leadership Team members, global finance, global mobility, BCG's practice area operations team, and the BCG Institute People Chair.
