Make your mark as Business Support and Office Coordinator at Boskalis! We are seeking an organised and dependable Business Support and Office Coordinator to provide maternity cover within our office for 1 year. This is a fully office‑based position, working 5 days per week, and is primarily administration‑focused, with some personal assistant support for the Managing Director and Senior Management Team. The role also includes responsibility for office management, facilities coordination, and the day‑to‑day management of a small office‑based team. Due to close working relationships with senior leadership, a high level of discretion and confidentiality is essential.

Main Tasks:

  • Administration & Business Support
    • Provide day‑to‑day administrative support to the Managing Director and Senior Management Team
    • Manage office systems and records and ensure information is kept up to date
    • Act as a first point of contact for internal and external enquiries
    • Support the coordination of meetings, company events, and general office activities
  • Personal Assistant Support (Light PA Duties)
    • Diary management and meeting coordination for senior management
    • Arrange travel and accommodation as required for senior management
    • Prepare correspondence, letters, and basic reports
    • Take meeting minutes and follow up on agreed actions
  • Office Management & Facilities
    • Oversee the day‑to‑day operation of the office environment
    • Coordinate facilities and office services, including maintenance, contractors, cleaning, and supplies
    • Provide day‑to‑day coordination and support to a small office‑based team
    • Assist with task allocation, workload management, and general supervision and coordination of a small team

Required Knowledge & Experience:

  • Strong organisational and time‑management skills
  • Ability to prioritise tasks and manage a varied workload
  • High levels of discretion and confidentiality when handling sensitive information
  • Confident and professional when working closely with senior stakeholders
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Previous experience in an administrative, business support, or office coordination role

Advantageous (but not essential):

  • Experience managing a small team
  • An understanding of facilities management and office services

This role is due to start in July 2026 and a full handover and training will be provided.

  • Where you will work: You will be working at the Westminster House Office based in Fareham, Hampshire. This role is fully office based.
  • Full/part-time job: The position of Business Support and Office Coordinator is a full‑time job - 37.5 hours a week.
  • Permanent/Fixed Term: This is a 1 year fixed term position.
