About the role

As Personal Assistant, you will provide secretarial support to the Executive Leadership Team, oversee the day-to-day running of the head office and act as the central administrative support function. You will be responsible for:

  • Providing a front of house service at our Head Office, meeting and greeting guests and staff attending training.
  • Answering general telephone enquiries to head office and ensuring messages are delegated to the relevant person to respond.
  • Managing the Borough Care enquiries email box, responding to and distributing queries as appropriate and acknowledging complaints.
  • Providing general secretarial support to the executive team including calendar management, organising meetings, booking venues, ordering lunches, sending out invites, taking minutes and follow up.
  • Co-ordinating events, travel and trips.
  • Supporting the Marketing Manager with various campaigns and events.
  • Maintaining the company policy register and publishing approved new and updated policies.
  • Updating Service User Guides and Statement of Purpose.
  • General office management including ensuring the office facilities and meeting rooms are well presented, that provisions and consumables are readily available.
  • Updating company systems with new starters and leavers to ensure appropriate access and reset passwords when required.
  • Acknowledging subject access requests and supporting data collection and correspondence.
  • Collecting data including survey data and producing reports.
  • Collecting and distributing mail.

About you

We are looking for an experienced personal assistant or administrator with a positive can do attitude. You will have excellent communication and IT skills with the ability to prioritise and organise your work effectively. You will also have a high level of attention to detail and the ability to maintain confidentiality.
