Working Pattern: Full-time Hybrid, based at our Greenford site 3 days a week minimum

Role Purpose

The Purchasing Administrator supports the Purchasing Manager in ensuring raw materials, ingredients and packaging are ordered accurately and delivered on time to support production. This role is key to maintaining smooth day-to-day purchasing operations, managing supplier communication and keeping purchasing records accurate.

Key Responsibilities

  • Purchasing & Order Management
  • Raise purchase orders for ingredients, packaging and other production materials
  • Track and monitor orders to ensure on-time delivery
  • Maintain accurate purchasing records in internal systems
  • Update delivery schedules and communicate changes with production and warehouse teams
  • Supplier Coordination
    • Liaise with suppliers regarding order confirmations, lead times and delivery updates
    • Support the Purchasing Manager in managing supplier relationships
    • Resolve basic order or delivery queries
  • Stock & Inventory Support
    • Assist with monitoring stock levels of key ingredients and packaging
    • Flag potential shortages or delays
    • Support stock reconciliation and reporting
  • Administration & Data Management
    • Maintain accurate purchasing documentation and supplier information
    • Update pricing and product data
    • Assist with purchase order matching and invoice queries
  • Cross-Team Coordination
    • Work closely with production, warehouse and finance teams
    • Ensure purchasing information is communicated clearly across departments
