The Group, composed of more than 800 employees, operates renewable assets with an installed capacity of over 3 GW and is developing a project portfolio of 6.8 GW in wind, solar, and energy storage.
The Document Controller is responsible for managing, organising, and maintaining company documents, ensuring they are stored properly and are easily accessible. They are responsible for the day-to-day management of the UKβs SharePoint and Boralink (Salesforce CRM) systems and be the key point of contact for the wider UK Team to upload documents. The Document Controller will also maintain both SharePoint and Boralink systems.
Responsibilities- Maintaining organised and updated documents for the development, construction and asset management functions of Boralex in the UK.
- Supporting the creation of a document naming and updating protocol.
- Data entry into SharePoint for all UK documents, including liaising with our Geospatial Team to ensure all drawings and related data are correctly filed, stored and easily recovered.
- Manage and update the Boralink (Salesforce CRM) system to enable management to have clear monthly reports for each UK project.
- Retrieving documents for authorised personnel.
- Ensuring document storage complies with laws and regulations.
- Managing and organising all designated company documents.
- Tracking revisions and facilitating document retrieval for internal and external stakeholders.
- Convey a positive image of the company and represent Boralex in accordance with its values.
- Train employees on records management procedures, including documentation, retention, retrieval, destruction, and disaster recovery.
- Coordinate with different departments to facilitate the document control process and assist teams in retrieving necessary files and records.
- Support audits by providing necessary documentation and assist with file migrations and audits as needed.
- A diploma or degree in business administration, records management, or a related field would be ideal.
- Understanding of SharePoint or proficiency in a Data Management system.
- Understanding of Esri GIS data management.
- MS Office (especially Word, Excel and Project), and strong typing and editing skills.
- Knowledge of SAP would be helpful.
