Working Days: Monday 10th August - Sunday 16th August

Rate of Pay: ÂŁ200 per day + 3 meals per day, ÂŁ160 per day for 4 days advance (dates to be discussed on interview)

Role Overview: The Guest List Manager is responsible for overseeing the planning, coordination, and delivery of all guest list operations at Boomtown Festival. This role ensures a seamless and professional experience for Directors’ guests, VIP attendees, and key partners. The successful candidate will manage accreditation processes, maintain accurate guest data, and lead meet‑and‑greet services, delivering a high standard of hospitality throughout the event.

Key Responsibilities:

  • Develop, maintain, and oversee multiple guest lists including Directors’ guests, VIPs, and Estate Guests.
  • Liaise directly with internal stakeholders (Ticketing Manager, Directors, Partnerships team, VIP coordinators, Head of Music) to gather and verify guest information.
  • Ensure all guest data is accurate, up‑to‑date, and handled confidentially.
  • Manage last‑minute changes, additions, and queries in a fast‑paced environment.
  • Oversee the accreditation process, including pass allocation, collection points, and distribution.
  • Ensure all guests receive the correct level of access and credentials.
  • Work closely with security and access teams to maintain integrity of accreditation systems.
  • Troubleshoot accreditation issues quickly and efficiently on‑site.
  • Act as a primary point of contact for VIP guests and partners before and during the festival (from Monday 10th August).
  • Deliver a high level of customer service, ensuring all guest needs are anticipated and met.
  • Support partnerships activation by ensuring partners’ guests are managed according to agreements.
  • Keep Key reports informed of imminent VIP arrivals.
  • Act as primary point of contact for Guestlist inbox assisting guests with queries.
  • Maintain clear communication across teams, including music, security, and any relevant stakeholders.
  • Be present on‑site throughout the festival to manage guest services operations.
  • Handle escalations, complaints, or special requests with discretion and professionalism.
  • Continuously improve processes to enhance guest experience.

Skills & Experience:

  • Proven experience in guest list management, accreditation, or VIP services within festivals, events, or hospitality.
  • Strong organisational skills with the ability to manage multiple lists and priorities simultaneously.
  • Excellent communication and interpersonal skills.
  • Ability to remain calm and solutions‑focused under pressure.
  • High attention to detail and data accuracy.
  • Experience working with accreditation systems or databases.
  • Experience working at large‑scale festivals or live events.
  • Previous team leadership or supervisory experience.
  • Knowledge of Boomtown Festival operations or similar immersive events.
  • Knowledge of Festival Pro.

Summary: The Guest List Manager plays a critical role in shaping the experience of Boomtown Festival’s most important guests. This is a dynamic, high‑responsibility position suited to someone who thrives in live event environments and is committed to delivering exceptional service at every stage of the guest journey.

Onsite Accommodation: You will need to provide your own accommodation. This can either be a tent or live‑in vehicle and you are welcome to stay in the music office campsite in the artist field or in the main crew campsite.

Meals Onsite: Three meals per day will be provided in crew catering. All dietary requirements will be catered for.

Physical Description of Work: This role is an on‑site role at our festival, with some physically active work such as bending, lifting, moving around other areas of the site. The festival takes place on a large, greenfield site so the role requires the ability to move around independently and extensively.
