About the role
The Transport Coordinators support the Transport Operation and the Drivers with all aspects of the day to day running of the Transport Operation. Working alongside the Transport Manager the Transport Coordinator will be responsible for overseeing the transport operation including tachograph infringements, allocating routes, managing drivers hours, maintaining rota’s, booking holidays, input of payroll, on time deliveries and PDA compliance, audit compliance, fleet maintenance and management, fuel management, absence management, investigations and accident reporting whilst seeking support and advice where necessary. They are fully responsible for the Briefing and De-briefing of the driving team and reporting any non-conformance issues to the management team each day. In the absence of the Transport Manager they will be responsible for making key decisions whilst ensuring the integrity of the business and cost control, including the Transport Teams output and fulfilment, they will be key holders for the depot and have the responsibility of securing the site.
You will be responsible for
- Route allocation
- Ensure routes leave depot on time
- Ensure legal, company and statutory requirements concerning transport are adhered to including completing and maintaining all relevant records – Drivers hours, driver licenses, tachograph, vehicle/MHE inspection and maintenance, H&S at work, vehicle defects, Safe Systems of Work and Risk assessments.
- Manage drivers hours in line with WTD
- Signing off tachograph infringements
- Completing the DAL
- Manage driver rosters, input payroll, agency payroll and book holidays
- Absence management and relevant absence paperwork completion
- Liaise with agencies to cover driver/driver assistant shortfall
- Complete investigations and complete counselling’s/file notes where necessary
- Signing in and out of agency staff
- Checking through Driver PDA compliance upon completion of route
- Signing out/In of PDA’s for Agency / Temporary drivers
- Manage On-Route compliance throughout the day and liaise with drivers whilst out on route for non-compliance
- Investigate all PDA non-conformance issues and pass to the Transport Manager
- Handing out/returning of vehicle/store Keys
- Reporting on Performance from Microlise standards
- Resolving Failed Delivery Issues and liaising with couriers to make deliveries/collections when necessary.
- Liaising with CAD for store credits
- Ensuring any incidents/accidents have the correct paperwork completed for the Transport Manager
- Receiving updated Schedule plans and planning resource accordingly
- Signing Drivers Paperwork/Delivery documentation
- Follow up on late/no show vehicles
- Order and distribute staff uniform
- Designated Key-holder – full responsibility of the site at weekends and cover for Transport Manager absence.
- Maintain staff training folders and training administration.
- Depot compliance including H&S, Pest Control, Fire Safety, Temperature Monitoring, Depot handovers with BidFood
- Weekly stock counts
- Out of hours contact in the absence of the Transport Manager
- Completion of the depot Distribution Costs in the absence of the Transport Manager.
You will need
- Have an understanding of Logistics and LGV vehicles.
- Have good organizational, communication and time management skills.
- Knowledge of MS Office applications.
- Working knowledge of Microlise system, Optac3 and associated applications
- At least 2 years’ experience in a Transport environment.
