About the Role

As the Post-Sale Coordinator in the Luxury Departments, you will play a vital role in ensuring our clients receive the highest level of service following an auction. You will support the Post-Sale Service Manager in providing an efficient, organised, and compliant after-sales experience. The role includes coordinating relevant paperwork for import and export, supporting clients with shipping logistics, and working closely with multiple internal departments and external partners. Your focus will be on delivering seamless post-sale services for the Luxury departments Jewellery, Watches, Handbags at our Knightsbridge and New Bond Street locations, helping to build lasting relationships with clients by ensuring smooth and timely delivery of their purchases.

Key Tasks and Responsibilities

  • CLIENT SERVICES & SHIPPING SUPPORT: Provide clients with shipping quotes pre- or post-sale, coordinating with third-party shipping partners to ensure smooth and timely deliveries. Act as a key liaison between Bonhams, clients, and third-party shipping providers, ensuring excellent communication and timely resolution of any shipping issues. Manage property releases and ensure that client collections and deliveries are processed efficiently. Support first-time buyers and clients identified by specialist departments with post-sale communications, ensuring a positive customer experience and ensuring client personal data is up to date on their accounts.
  • ADMINISTRATION & LOGISTICS: Oversee the shipping calendar with ThePackengers, Arta and Malca Amit ensuring sales are correctly uploaded to Bonhams' website and that all related documents are accurate. Manage and track export documentation, ensuring compliance and maintaining a clear audit trail with third-party shipping partners. Work with credit control to manage consolidated buyer invoices, including shipping charges, and ensure appropriate tax‑free shipment documentation is obtained. Obtaining VAT‑free invoices and ensuring VAT refunds are processed by securing proof of export documents and liaising with the Credit Control and VAT compliance teams.
  • STAKEHOLDER RELATIONSHIPS: Foster and maintain strong relationships with internal teams, including specialists, client services, credit control, and shipping departments, ensuring seamless collaboration across all departments. Monitor and evaluate third-party shippers to improve client experience and shipping delivery times and assist the Post-Sale Manager in maintaining these partnerships.
  • REPORTING & COMPLIANCE: Ensure that all primary shipper invoices are processed and settled accurately and in a timely manner. Proactively identify and resolve any post-sale shipping issues, acting as the first point of escalation to maintain client satisfaction.

  • Time & Task Management: Strong organisational skills, able to manage multiple tasks in a fast-paced, multi-tasking environment.
  • Problem-Solving: Logical thinker with the ability to resolve issues quickly, striving for continuous improvement in processes.
  • Relationship Building: Proven ability to build strong relationships with internal teams and external partners, fostering a collaborative approach.
  • Shipping & Logistics Expertise: Experience managing the shipment and movement of luxury goods across borders, including familiarity with import/export regulations and documentation.
  • Communication Skills: Excellent verbal and written communication, with strong presentation skills.
  • Third-Party Shipper Management: Demonstrated experience managing relationships with third-party shipping providers, ensuring efficient service delivery.
  • Language Skills: Fluency in French or Mandarin is an advantage, though not essential.
