About the Opportunity
Bolt Technical are recruiting for an organised and proactive Business Operations Coordinator to support the operational, financial, and administrative functions of our clients' business. The successful candidate will play a key role in coordinating contracts, invoicing, customer service activities, and performance reporting. This position is ideal for a highly organised individual who enjoys working across multiple departments, ensuring processes run smoothly and efficiently while delivering excellent support to both customers and colleagues.
Working Hours: Monday to Friday, 08:00 – 17:30
Key Responsibilities:
- Manage end-of-project and contract documentation processes
- Process new Planned Preventative Maintenance (PPM) orders and manage PPM renewals
- Maintain and update contract information within Simpro, ensuring data accuracy and compliance
- Coordinate applications for Police Unique Response Numbers
- Liaise with monitoring companies to support seamless service delivery
- Assist with foreign travel arrangements and overseas travel checklists
- Manage maintenance invoicing processes, ensuring timely and accurate billing
- Raise and process invoices for remedial and small works projects
- Provide backup support for purchasing activities when required
- Generate KPI reports for internal teams and key customers
- Support data collection, performance monitoring, and reporting activities
- Provide backup support for incoming calls and the shared Mail@ inbox
- Publish the daily diary for Management and Office teams
- Deliver general administrative support across the business as required
Key Skills & Experience:
- GCSEs (or equivalent) in English and Mathematics
- Previous experience in an administrative, operations, or coordination role
- Strong organisational skills with the ability to manage multiple priorities effectively
- Excellent attention to detail and accuracy
- Strong communication skills and ability to build effective working relationships
- Experience using job management, CRM, or business systems such as Simpro
- Proficient IT skills, including Microsoft Excel, Word, and Outlook
- Ability to work independently and collaboratively as part of a team
- Experience with invoicing, contract administration, or service delivery coordination would be advantageous
Due to the nature of the work, the successful candidate must be willing to undergo and successfully obtain security clearance. Existing security clearance is not required.
