Arddun Agency is seeking an enthusiastic, highly organised Showroom Co‑Ordinator to play a key role in the planning, execution, and day‑to‑day management of our international wholesale showrooms. These showrooms take place four times a year across New York, London, and Paris.
The Showroom Co‑Ordinator will act as a critical link between Operations, Wholesale, and external partners, ensuring that all showroom activity is planned, communicated, and delivered efficiently. This role requires exceptional attention to detail, strong organisational capability, and the confidence to manage multiple workstreams simultaneously across different time zones and markets.
Key Responsibilities- Showroom Planning & Co-Ordination
- Maintain detailed and accurate trackers for each season, ensuring that all milestones are clearly documented and achieved.
- Actively liaise across the different teams to receive and communicate the most up to date information.
- Manage the logistical coordination of the showroom components, including interns, models, catering, carnet and sample movements.
- Work directly with rental brands to finalise contracts and showroom space requirements.
- Travel & Logistics Management
- Book and manage flights, trains and hotels for all seasonal travel for the team.
- Co-ordinate travel arrangements for tradeshows in addition to the sample shipments.
- Be the key contact at Arddun Agency with our Travel Agents and main hotel contacts.
- Communication & Reporting
- Produce and distribute clear, structured weekly reports to the relevant teams to ensure all key parties are aligned.
- Act as the key link between the teams.
- Proactively flag any issues, risks or delays and support in the resolution.
- Financial Process & Vendor Management
- Check and approve all relevant invoices received.
- Secure, manage and maintain strong working relationships with vendors and service providers.
- Send out the staff order forms at the end of each season and review and check that all individual orders adhere to policy.
- Proficient with Excel and other Microsoft applications
- Strong communication and organisational skills
