Self-portrait is part of the newly formed SP Collection, a group that has been set up to discover, nurture, and develop best in class creativity and design.
We are looking for an Ecommerce Operations Coordinator to join the team at Self Portrait. This role owns the operational control of global e-commerce, ensuring that stock availability, inbound deliveries, and customer orders are aligned. Working closely with Logistics, Customer Service, and Buying, the E-commerce Operations Coordinator ensures that launches and preorders are fulfilled smoothly and operational issues are identified and resolved early.
Main Responsibilities
- E-commerce & Preorder Operations
- Oversee ecom orders, preorders and prebuy campaigns
- Track backlogs and on-hold orders
- Ensure preorder campaigns are operationally set up and fulfilled correctly
- Inbound & Launch Alignment
- Track inbound shipments and delivery timelines
- Align stock arrival with ecom launches and preorder fulfilment
- Ensure stock is available before go-live
- CS Support & Order Oversight
- Support CS with order backlogs, especially during peak / markdown periods
- Monitor back orders, stock issues, and fulfilment delays
- Identify root causes and escalate where needed
- Stock & Allocation Control
- Monitor stock availability vs demand
- Flag risks of over-allocation
- Escalate stock issues across teams
Knowledge, Skills & Experience
- 3–5 years’ experience in a relevant role (e-commerce operations, logistics, order management or supply chain), with exposure to end-to-end order and stock flow
- Strong attention to detail and organisational skills, with the ability to manage multiple trackers, deadlines, and workflows simultaneously without losing accuracy
- Proven ability to operate in a fast-paced environment, prioritising effectively and adapting quickly to changing business needs (e.g. peak / markdown periods)
- Strong systems proficiency, including:
- Shopify (order flow, product setup, basic troubleshooting)
- Microsoft Excel (lookups, data analysis, reporting)
- ERP systems (Zedonk or similar)
- WMS platforms (stock visibility, allocation, order status)
- Solid understanding of stock management, including:
- Stock allocation and availability
- Back orders and fulfilment constraints
- Identifying and resolving stock discrepancies
- Analytical mindset, with experience building and maintaining reports, interpreting data and using insights to flag risks and improve operations
- Strong logistical understanding, ideally across international markets, including awareness of how inbound timelines impact order fulfilment and customer delivery
- Proactive problem solver, able to identify issues early, investigate root causes and drive solutions across teams
- Strong communication skills, with the ability to work cross-functionally with Customer Service, Buying, Logistics and Tech teams
- Positive, hands-on attitude, with a willingness to take ownership and drive outcomes in a fast-moving environment
- Ability to work independently, managing priorities and responsibilities
- Experience supervising or supporting junior team members is a plus, but not essential
