As our clinics continue to grow, we are seeking a highly motivated and skilled Practice Manager and Communications Coordinator to oversee clinic operations, spearhead communication efforts, enhance revenue through networking and outreach, and serve as the main point of contact for team members and patients.

Responsibilities

  • Clinic Management
    • Oversee day-to-day clinic operations, ensuring a seamless patient experience and efficient workflows.
    • Manage appointment scheduling, rescheduling, and coordination of patient care.
    • Maintain clinic facilities, including cleanliness, organisation, and stock management.
    • Monitor inventory levels and liaise with suppliers to ensure the timely availability of clinic essentials.
    • Support recruitment efforts and onboarding of new team members.
  • Internal Communication Support
    • Act as the primary point of contact for team members within the clinic, providing prompt and accurate responses to their queries.
    • Ensure effective communication among team members, streamlining information flow, and addressing any communication challenges.
    • Assist in the development and implementation of communication protocols and guidelines for internal staff.
    • Support with the management of individual team members/departments where needed.
    • Manage incoming patient inquiries via phone and email, providing exceptional customer service and timely responses to ensure a positive patient experience.
    • Address patient concerns, resolve issues, and elevate complex cases to the appropriate department when necessary.
    • Maintain a professional and empathetic tone in all patient interactions, adhering to privacy and confidentiality guidelines.
  • Appointment Scheduling and Follow‑ups
    • Work closely with the management team to ensure efficient appointment scheduling and rescheduling processes.
    • Conduct follow‑up calls or emails with patients to gather feedback and identify areas for improvement in the clinic's services.
    • Collaborate with marketing and leadership teams to develop and implement effective communication strategies aligned with the clinic's overall goals and objectives.
    • Utilise data analytics to measure the success of communication initiatives and make data‑driven recommendations for improvements.
