Working closely and directly supporting our Chief Executive Officer, this role also involves office management and event support, to keep our London office running smoothly and help our leadership team work at their best. It involves liaising with high profile stakeholders and handling confidential information, so you’ll need sound judgement, discretion, and a calm, professional approach.
Main Responsibilities
- Executive Assistant (EA) to Chief Executive Officer (CEO)
- Manage the CEO’s calendar: organise, track, prepare and provide briefings for all appointments.
- Liaise with VIP external stakeholders and internal colleagues to optimise the CEO’s time and availability.
- Support the president, helping to manage appointments & communications.
- Make seamless travel arrangements for the CEO and president, considering both business and personal commitments; ensure travel schedules align with priorities.
- Help manage the CEO’s communications: monitor the inbox, draft emails, and liaise with key contacts both inside and outside the organisation.
- Ensure the CEO and executive team receive timely, accurate, and well-organised information, including formatting materials for internal and external communications.
- Support other senior members of the leadership team as required.
- Create a welcoming environment at the front desk so everyone feels at ease.
- Make a memorable impression on external guests by showcasing our open culture, anticipating and preparing for guests including preparing meeting rooms, and organising lunches.
- Take responsibility for company announcements.
- Manage the office efficiently by implementing and operating effective systems, selecting and overseeing suppliers for consumables and services, managing the front desk, keeping the kitchen well-stocked and presentable, and liaising with service providers (coffee machine, maintenance, fruit delivery, cleaners).
- Keep the office organised, clean, and tidy; stay on top of maintenance needs.
- Work with employees to coordinate meeting room bookings so everyone’s needs are met.
- Assist with planning and organising company and team events to foster collaboration and maintain our culture.
- Organise or support business-wide social events.
- Communicate company-wide about events and office happenings.
- Always look for more efficient and effective ways to do things, including using AI (artificial intelligence) and automation.
- Use the usual Microsoft suite (Word, Outlook, Teams, etc.) and be proficient in PowerPoint and Excel.
This role is ideal for someone early in their EA or office operations career who’s confident, personable, and highly organised. You’ll be the face of the office, supporting senior leaders and creating a smooth, welcoming experience for colleagues and guests.
