We’re seeking a future team member for the role of Executive Assistant/Admin Assistant to join our Asset Servicing BBDI (EMEA) team. This role is located in London.
Responsibilities:
- Effectively prioritising the needs of the executive, managing competing requests and switching focus as needed, often negotiating a prioritisation of activities.
- Diary management experience, including the ability to proactively manage diary conflicts and short notice diary changes.
- Coordinate travel, visas, accommodations, logistics, and detailed agendas; prepare and reconcile expense reports.
- Prepare briefing packs, agendas, pre-reads, minutes, and action trackers; follow through to closure with accountable owner.
- Excellent communication skills with the ability to interact across all levels within the organisation and deliver high quality service.
- Displaying the ability to appropriately interact with leadership inside and outside the organisation.
- Process oriented thinking with a strong attention to detail.
- Quickly assimilating multiple reports, conduct quality assurance, scrutinise, and clarify exceptions, and then summarising themes towards the production of MI reporting packs/presentations for management and client consumption.
- Participating in ad-hoc special projects and initiatives, usually at an executive level.
Qualifications:
- Bachelor’s degree or the equivalent combination of education and experience is preferred.
- Proficiency in Microsoft 365 (Outlook, Teams, Excel, PowerPoint, OneDrive/SharePoint); strong comfort with virtual collaboration tools.
- Strong administration skills.
- Demonstrate sound judgment and good decision making when dealing with problems – able to solve challenging problems, with a proactive and enthusiastic approach to work.
- The ability to work to tight deadlines, prioritising tasks accordingly and switching focus quickly.
- Applies advanced problem‑solving skills, judgement, and experience to analyse information.
