The role
The day-to-day operations of the estate’s hard services will occupy much of your time, and you’ll take pride in leading your service providers to ensure we maintain efficient systems and a safe working environment.
Responsible for managing the delivery of an effective and compliant facilities management service through in-house staff, suppliers, and consultants. Your primary focus will be on hard services.
Responsibilities
- Contribute to the preparation, monitoring, and reconciliation of service charge budgets.
- Check and approve expenditure against service charge budgets.
- Provide excellent customer service to internal and external clients.
- Maintain effective communication with clients and tenants.
- Manage site-based staff, ensuring all policies and procedures are followed.
- Coordinate with internal colleagues in Property Management, support functions, and the wider Real Estate business.
- Monitor and audit supplier work and service delivery.
- Measure and report supplier performance against SLAs.
- Manage suppliers to ensure effective, safe, and compliant delivery of all M&E services, including life safety systems, vertical transportation, and public health systems.
- Collaborate with specialist consultants to deliver outcomes.
- Procure goods and services following company procedures.
- Develop and manage capital replacement programs.
- Prepare management reports and participate in meetings.
- Conduct regular building inspections and oversee necessary works.
- Ensure compliance with health, safety, and environmental legislation.
- Manage environmental activities to meet statutory obligations and industry standards, e.g., ISO14001, working with the sustainability team.
- Adhere to internal procedures and policies, including Procurement, Finance, Compliance, and HR.
- Maintain security and emergency procedures, taking active roles during emergencies.
Person Specification
Qualifications/Key Skills
- Building services-related qualification
- Membership of a relevant professional body
- NEBOSH National General Certificate in Occupational Safety and Health
Experience
- Report writing and data analytics
- Experience in a similar role
- Understanding of commercial leases and landlord-tenant relationships
- Knowledge of service charge budgets and accounting principles
- Managing in-house and supplier staff
- Managing supplier relationships
- Strong health, safety, and environmental knowledge
- Extensive mechanical and electrical services knowledge
- Excellent English language skills, both written and spoken
- Proficiency in MS Office (intermediate level)
- Experience managing multi-site environments
- Experience managing a single site over 300,000 sq ft or service charge budgets over £3m
