BM Home Repairs and Maintenance Ltd is a growing Property Maintenance company based in Northern Ireland. We are looking for a reliable, organised, and proactive full-time Maintenance Co-Ordinator to support the director and help bring structure to a busy, fast-moving operation.

This is not a back-office filing role. You will be the central coordination point for the business – managing communications with customers, trades and suppliers, tracking jobs, organising schedules, payments and keeping the day-to-day running smoothly so the director can focus on winning work and growing the company.

Role Details

  • Position: Full-Time Maintenance Co-ordinator
  • Hours: 30 hours per week (5 days) (Maybe increased to 35 hours)
  • Rate: £14 per hour (Bonus Incentives)
  • Location: Remote / Work from home
  • Reports To: Director
  • Start: Immediate
  • Contract: Self Employed

What You Will Do

Customer Service & Administration

  • First point of contact for customers; Phone calls, emails, social media, WhatsApp, etc.
  • Manage and maintain the company CRM and invoicing system (Service M8).
  • Recording and inputting details for work requests through to job completion and invoicing.
  • Communication with customers, trades, suppliers and professional services.
  • Manage all documentation relating to company activities. (quotes, invoices, purchase orders, etc).
  • Maintain the supplier and subcontractor invoice tracker and flag any overdue or missing invoices.
  • Manage invoicing, outgoing and incoming payments, chasing debtors.

Coordination & Scheduling

  • Take incoming enquiries and log them on CRM system (Service M8).
  • Schedule jobs and coordinate trades.
  • Organise the director’s calendar, book meetings, and manage emails.
  • Maintain the company filing system through Dropbox.

Communication Filter & Gatekeeper

  • Act as the first point of contact for customers/clients, subcontractors, and non-urgent client queries.
  • Log issues and queries before escalating to the director – maintenance requests, payment queries, scheduling changes.
  • Screen calls and protect the director’s time from unnecessary interruptions.
  • Direct all queries through a structured process so nothing falls through the cracks.

What We Are Looking For

  • Experience in maintenance/construction administration or a similar coordination role.
  • Familiarity with property maintenance activities.
  • Strong organisational skills – you are the kind of person who keeps lists, follows up, and doesn’t let things slip.
  • Comfortable working independently and remotely with minimal supervision.
  • Good communication skills – confident on the phone and clear in writing.
  • Proficient with basic IT – email, spreadsheets, Google Drive or similar.
  • Discreet and professional – you will handle sensitive business information.

Nice to Have (Not Essential)

  • Experience using CRM systems such as Service M8, Fix Flow, etc.
  • Experience using accounting software such as QuickBooks, Xero, etc.
