About the Role:
Working closely with the Operations / Transport Managers to ensure the effective operation of the Transport function, the Transport Planner will provide a cost effective and efficient service, to maximise profit and customer satisfaction.
Key Responsibilities:
- Daily routing/monitoring/forward planning of the vehicle/driver schedules in line with tachograph regulations.
- Prioritise tipping loaded bins in date order (oldest first).
- Produce, send and scan consignment notes.
- Booking loads in with the relevant landfill sites, following correct processes for each.
- Carry out daily check‑ins with drivers both AM & PM, ensuring that the office copies are updated with relevant information (breakdowns/delays/ETA’s etc).
- Availability updates – 4 times per day.
- Ensuring that drivers are informed of special instructions.
- Provide instructions and guidance to drivers and assist with resolving any issues. Act as a point of contact for drivers to aid communication.
- First port of call dealing with customer queries/service updates/non‑compliant wastes.
- Update banners in Weighsoft when we’re advised of changes to customer sites.
- Dealing with wasted journeys to include managing the driver’s work, liaising with the customer and updating Weighsoft.
- Record, action and report breakdowns accordingly.
- Checking in driver’s paperwork to be completed by 9.30am on Monday and ad hoc throughout the week.
- Ensure that driver’s issue Disclaimers when necessary.
- Putting vehicles on and taking off our Insurance when required.
- Emailing customers to advise them of Overweight Bins within 24 hours of being made aware.
- Scanning driver’s sheets in a timely manner.
- Completion of spreadsheet to indicate relevant overtime, nights out and additional payments for payroll.
- Daily update of the Productivity Log.
- Review Waiting Time report and action as necessary.
- Weekly review of outstanding tickets to make sure all are accounted for.
- Collate bin stocks for all sites and skip repairers.
- Replenish/order new PPE as and when required.
- Attend quarterly monthly driver’s meeting and produce minutes.
- Change gate codes and send round email communication.
- Payment of PCN’s once approved and taxing of vehicles.
- Assistance with transport accreditations as required.
- Ensuring the correct resources for a safe working environment are made available.

- Undertake any reasonable duties as required to meet the needs of the business.
About you:
Skills and Experience Required:
- Experience of waste transport operations is desirable.
- Experience in managing a fast‑paced administration function in a high‑pressure environment.
- A very personable 'can do' attitude.
- Demonstrates initiative and the ability to multi-task.
- Excellent verbal and written communication skills.
- PC literate with excellent working knowledge of IT systems, Microsoft Office suite.
- HGV Class 1 and ADR would be useful.
- FORS qualification or experience beneficial.
