Job Summary

Reporting directly to the operations director, as an operations event co-ordinator, you will support the management of exhibitors and sponsors for our events. You will be involved in creating and maintaining exhibitor databases and exhibitor portals, managing floorplans, and providing crucial administrative support to ensure smooth event coordination. This is an excellent opportunity for someone with strong administrative skills, B2B event experience and a passion for event coordination to join a fast-paced and innovative team.

Key Responsibilities

  • Assist with the management of exhibitors and sponsors for Blueprint Event Company’s events.
  • Maintaining detailed records via our exhibitor databases and regularly cross-checking our CRM platform against our master databases and floorplans.
  • Support the creation and maintenance of exhibitor portals, ensuring all information is up-to-date and accessible, adding new exhibitors and chasing in the required information.
  • Assist with the management of event floorplans, ensuring all updates are actioned in a timely manner.
  • Provide administrative support to the event team, including data entry, document preparation, and coordination of communication between exhibitors, sponsors, and internal teams.
  • Provide operational support to the Operations Director as needed for ad-hoc duties surrounding the Events.
  • Build and maintain positive relationships with exhibitors and sponsors, answering inquiries, chasing in exhibitor documentation and providing outstanding customer service.
  • Collaborate with the event team to ensure deadlines and event objectives are met.
  • Assist in the coordination of event logistics and ensure all materials are prepared and organised prior to the event.
  • Provide support onsite at the organiser’s office/service centre to the exhibitors and Operations Director as needed, ensuring a seamless onsite experience.

Requirements & Skills

  • 2+ years of experience in a B2B exhibition environment with particular emphasis on administrative & customer service duties.
  • Experience in building customer relationships to enhance the customer experience.
  • Strong organisational skills and attention to detail is key.
  • Proficiency in Microsoft Excel, Outlook and other office software, experience with Salesforce is a plus.
  • Exceptional communication skills, both written and verbal, with the ability to collaborate effectively across teams and build relationships with external partners.
  • Ability to manage multiple tasks and prioritise effectively in a fast-paced environment.
  • Willingness and ability to travel globally for events and on-site coordination.
  • A proactive, problem-solving attitude with a focus on delivering exceptional service.
  • A good understanding of the B2B exhibition and event industry.
  • Be willing and able to work full-time from our office in Hove (parking included).
