We are seeking a proactive and personable Office Assistant to support the smooth day-to-day running of the office. This role is ideal for someone at the early stage of their career (graduate to 1 year experience) who is confident, organised and keen to learn. The position offers broad exposure to all aspects of business administration, including office management, finance, HR and marketing. The successful candidate will play a key role in maintaining a professional, efficient and welcoming office environment.
KEY ACCOUNTABILITIES:
- Office Management & Front of House
- Manage office and kitchen supplies and maintain stock levels
- Oversee daily hot desk allocation and office organisation
- Act as the first point of contact, meeting and greeting clients and visitors
- Answer office mainline calls and manage door access
- Handle incoming and outgoing post
- Prepare refreshments for clients and directors
- Arrange catering for meetings and working lunches
- Assist with meeting room bookings and coordination
- Facilities & Operations
- Liaise with cleaners and building management on office requirements
- Raise and track maintenance issues
- Manage office access fobs
- Monitor printers and provide monthly usage readings
- Record and submit monthly meter readings for utilities
- Assist with general office upkeep, including watering plants
- Support organisation of internal staff events
- Finance Support
- Assist with managing office-related spend
- Maintain petty cash records and tracking
- IT Support
- Provide basic IT troubleshooting for staff and office equipment
- Assist with new starter setup, including laptops
- Manage inventory of IT equipment and spare devices
- Liaise with external IT providers for system access and support
- Support maintenance of systems (e.g. SharePoint access, Zoho)
- HR Support
- Assist the HR Manager with non-confidential HR administrative tasks
- Marketing Support
- Support delivery of company and client events
- Provide administrative support to the Marketing team
- Reporting & General Support
- Produce monthly office attendance reports
- Provide ad hoc administrative support to the Executive Assistant and wider team
- Flexibility to take on additional tasks and responsibilities as they arise, ensuring smooth operations and supporting evolving business needs
