Blue Light Card Foundation is seeking a proactive and motivated Grants & Operations Assistant who is passionate about supporting the mental health and wellbeing of the Blue Light community. This role will play a key part in helping the charity grow, strengthen its strategy, and continue delivering meaningful impact.
As our Grants & Operations Assistant, you’ll be at the heart of the Foundation, ensuring our systems, processes and communications run seamlessly so we can deliver impactful grants and uphold strong organisational governance. Your work will keep every stage of our grant making and operations efficient, coordinated and aligned with our mission. You’ll work closely with colleagues, partners and stakeholders, becoming a trusted source of support across the organisation. In this role, you’ll help drive the smooth running of the Foundation and contribute directly to making a positive difference for the Blue Light community.

What You’ll Do
- Support the end-to-end administration of grant applications, including due diligence, scoring, logging awards, tracking progress and managing correspondence.
- Coordinate grant panel meetings by scheduling, preparing, and circulating papers.
- Maintain accurate and up-to-date records in the grants management system, including applications, contracts and reports.
- Prepare grant offer letters and payment schedules, ensuring documentation is clear and compliant.
- Gather and record monitoring data from grantees and support the development of impact and learning reports.
- Provide administrative support for Board and committee meetings, including scheduling, preparing papers and taking minutes.
- Support core operational activity including organisational record-keeping, supplier liaison, office coordination and compliance processes (e.g., safeguarding, GDPR, risk management).
- Assist with finance tasks such as processing invoices, grant payments, expenses, budget tracking and maintaining supporting documents.

- Experience working in a charity, foundation or grantmaking environment.
- Confidence using digital systems and databases to maintain accurate records and support workflows.
- Clear and professional communication skills, both written and verbal.
- Ability to manage multiple priorities effectively and work independently when required.
- A collaborative, proactive and flexible approach to supporting a small, busy team.

- Understanding of safeguarding and data protection principles, or willingness to undertake relevant training.
