Blue Legal is partnering with a leading organisation within the learning and development and professional training sector to recruit an Executive Administrative Assistant. The role is responsible for coordinating, administering and supporting the delivery of training, coaching and consulting sessions for external clients, alongside providing operational and property management support to the Managing Director. This is a varied and fast-paced position requiring strong organisation, attention to detail and excellent communication skills.

Key Responsibilities

  • Coordinate and schedule meetings, virtual conferences and one-to-one sessions in collaboration with client project managers, coordinators, administrators and personal assistants.
  • Manage invitations, collate responses and conduct proactive follow-ups to ensure strong attendance and engagement.
  • Liaise with consultants, actors and external suppliers to ensure all training, coaching and consultancy materials are prepared and all required pre-session actions are completed.
  • Coordinate with internal teams and client facilities contacts regarding event technology (including Zoom and Microsoft Teams), including testing and set-up prior to delivery.
  • Organise and support the delivery of virtual meetings, in-person conferences and workshops.
  • Oversee sessions on the day to ensure smooth execution from start to finish.
  • Prepare contracts, invoices and supporting documentation, ensuring all agreements are in place prior to commencement of work and following up on outstanding payments where required.

  • Highly organised with strong administrative and coordination experience, able to manage multiple tasks and deadlines effectively.
  • Excellent communication skills, with confidence in liaising with clients, consultants and external stakeholders.
  • Proactive, detail-oriented and adaptable, with the ability to support both operational delivery and property-related administration as required.
