We are looking to recruit a 37.5-hour Band 3 Scheduling Coordinator to work with the Community Continence team based at Clarendon, Hebburn. The post holder will be one of a team of administrative support staff who provide essential administrative functions, whilst interfacing with clinical and administrative staff. The service is fast paced and you would be expected to carry out a variety of administrative tasks. Candidates must be able to demonstrate they have the ability to communicate effectively with people at all levels by telephone and in person. Excellent organisational skills, flexibility and time management are also essential. Accurate data input skills are also necessary. You should have proven excellent keyboard skills and a working knowledge of software packages. There is an expectation that the post holder will work Monday to Friday 08:30‑16:30. We welcome applications for part‑time staff and would consider job share to the right candidates. Please note the Trust is not able to offer Skilled Worker Sponsorship for this role as it does not meet the UKVI threshold requirements.

Main duties of the job

  • To manage the scheduling of new/review patients in line with national standards, highlighting any capacity issues to the Clinical Team Manager as needed.
  • To provide an administrative service to the planned care team, supporting the provision of an efficient and effective service to patients, service users and staff within the Department.
  • Ensure accurate and timely updating and inputting of patient details, appointments and information into clinical record (EMIS).
  • To provide a range of administration and clerical support including those resulting from telephone calls.
  • Responsible for processing supplies orders and keeping an accurate record of expenditure.
  • Communicate with all appropriate staff groups and agencies as part of the service requirements in an effective and professional manner.
  • To effectively deal with telephone enquiries relaying information to team.
  • Provide clinical information to support ongoing service development.
  • To be a key member of the multi‑professional team.

Person Specification

Qualifications (Essential)

  • GCSE Maths and English C or above, or equivalent.
  • Level 3 qualification in administration or other relevant subject, or equivalent vocational experience which provides a working knowledge of prioritising patients using a waiting list and basic medical terminology linked to referrals for elective patients on RTT pathway.

Qualifications (Desirable)

  • Knowledge of Meditech.
  • Knowledge of EMIS.

Experience (Essential)

  • Vocational experience working in an NHS booking office.
  • Familiarity with medical terminology related to elective referrals on RTT pathways.
  • Experience working in a customer‑focused service environment.
