Job purpose
We’re looking for someone who’s proactive, detail-oriented, able to learn on the go, and ready to become an integral part of our Programme Management team (PMT). You\’ll play a key role in building scalable project/programme processes and supporting cross-border collaboration in a fast-paced, high-growth environment.
As part of the Programme Management Office (PMO) team you’ll be the go-to support for project / programme managers and functional leads, helping them stay compliant and efficient. Additionally, you’ll play a pivotal role in planning future work and collaborating with programme leads to align resources and set clear priorities.
Main Responsibilities, Activities, Duties and Tasks
To coordinate and support the programme management team in delivering strategic initiatives effectively, ensuring alignment with organizational goals, timelines, and resources
- Support the planning, execution, and monitoring of multiple programmes, including timeline tracking, risk & issues tracking, milestone updates, and status reporting.
- Provide support in the day-to-day management of the PMT. Oversee daily operations and ensure activities align with the organization\’s mission.
- Assist in tracking budgets and resource allocation. Support with budgeting & forecasting. Help ensure programmes stay within financial and resource constraints.
- Help identifying opportunities to improve programme coordination processes. Support implementation of tools, templates, or workflows improving project delivery outcomes.
- Provide training and support to project managers and team members on PMT processes and tools. Promote consistency in programme delivery across teams.
- Assist and facilitate communication with stakeholders.
- Handle administrative tasks such as scheduling meetings, preparing agendas, and documenting minutes.
- Establish and maintain efficient filing systems for project documentation ensuring easy access and retrieval of information.
- Ensure documentation and records are maintained for auditing and compliance purposes.
Education
Bachelor\’s degree in science, business & management, or a related field with familiarity in project management frameworks and best practices.
Professional Experience, Knowledge & Technical Skills
- Ideally, a depth of experience gained within a Healthcare setting or pharmaceutical industry.
- Demonstrable competence gained in a planning/scheduling role. Experience in developing and implementing PMO processes and methodologies.
- Experience in budget management including tracking expenditures and budget control and proficiency in financial reporting
- Proficiency in project management software and tools (including Outlook, Excel, PowerPoint, Word and MS project).
