Permanent Sales Admin vacancy in Glasgow City Centre - Fully onsite.
Working days: Monday - Friday, 37 hours per week (8am - 5pm Mon/Thu, 8am - 12pm Fri) with a 30 mins lunch break.
The Sales Administrator is required to provide essential back-office support for our sales team, handling:
- Quote generation
- Order processing
- Customer communication
- Invoicing
- Freight organisation
- Data entry
- After-sales support
This role bridges customer needs to the sales process. You will also manage paperwork, update records, arrange deliveries and often resolve queries, making you crucial for customer satisfaction and sales efficiency.
Salary: £25-£30k, contributory pension, 24 days holiday plus 5 public holidays. Target achieving bonus potential and private healthcare.
Key Responsibilities:
- Order Management: Processing sales orders, checking stock, arranging deliveries and managing payments. Prepare and issue quotes, proposals and order confirmations within agreed service levels, with follow-up as required to maximise conversion rate.
- Supplier liaison: Communication with suppliers on customer requirements on repeat and bespoke enquiries.
- Customer Service: Answering inquiries (phone, email, in-person) and providing post-sale support.
- Documentation & Data: Raising invoices, handling credit checks, updating customer databases and generating reports.
- Team Support: Assisting the sales team with administrative tasks, ensuring information flows smoothly.
- Problem Solving: Resolving customer issues and complaints to maintain service quality.
Skills Needed:
- Excellent time management and organisational skills.
- Strong customer service and problem-solving abilities.
- Preferred 3 years’ experience in sales coordination, account support or service desk role within a technical, B2B or service-led environment, or recent graduate.
- Skilled with CRM platforms and comfortable in Microsoft Office (Excel/Word/Outlook/Teams).
- Highly organised, strong attention to detail, able to prioritise multiple tasks under tight deadlines.
- Excellent communicator (written & verbal) with a customer-centric mindset.
- Positive, proactive and collaborative team-player who thrives in a fast-paced environment.
- Potential to progress into account management and/or sales role.
