This role is to provide high‑level PA support to the Director and Heads of Service, ensuring smooth coordination of meetings, reports, correspondence and departmental processes. Maintain confidentiality, accuracy and professionalism at all times.
Key Responsibilities
- Coordinate senior management meetings: prepare agendas, papers, minutes and track actions.
- Manage diaries, inboxes and correspondence for the Director and Heads of Service, prioritising and drafting responses using initiative.
- Oversee preparation and submission of Council, Cabinet and committee reports, ensuring accuracy and compliance with templates.
- Gather and prepare briefing papers, service reports and information for key departmental meetings.
- Liaise with senior officers, Elected Members, Trade Unions and external partners on behalf of senior managers.
- Provide flexible administrative support across the department, including shared mailbox management.
- Maintain accurate electronic records and information systems.
- Arrange travel, transport and stationery orders as required.
- Support election-related administrative preparations.
- Handle sensitive information with discretion and sound judgement.
- Undertake other duties consistent with the scope of the role.
