We're looking for someone to join us on a 3-month temporary contract (with potential to extend).

Pay: 18.54 per hour

Hours: Monday-Friday, 9am-5pm

Start date: End of March 2026

Role Overview

You will support panel meetings by helping with preparation, taking accurate minutes, and managing the administration before, during and after each session. This role involves handling sensitive information, supporting panel members, and communicating with a wide range of people with professionalism and compassion.

Main Duties

  • Provide support to panel members throughout the decision-making process, following legal guidance.
  • Prepare meeting papers, format documents, write clear letters, and take high-quality, accurate minutes.
  • Work confidently with online platforms, file systems, Microsoft Teams and Microsoft Office, sometimes guiding panel members on their use.
  • Respond to enquiries and manage shared inboxes, communicating respectfully with various stakeholders, including survivors.
  • Communicate clearly, honestly and professionally, and support colleagues across the team.
  • Maintain confidentiality and handle difficult or sensitive information while looking after your own wellbeing.
  • Follow data protection, document control and information-management policies.
  • Work collaboratively across the organisation to support improvements in processes and procedures.
  • Assist the operations team with planning and resource scheduling for panel activity.
  • Build positive relationships with colleagues to ensure high-quality service delivery.
  • Handle complaints and enquiries in a professional, values-driven manner.
  • Be flexible and willing to support wider tasks or develop new skills when needed.
  • Be available for occasional travel within Scotland (with notice).
  • Provide occasional evening or weekend support for exceptional panel requirements (also with notice).
