About the Role

An exciting opportunity has arisen to join a growing residential property management team in a Block Management Administrator capacity. The role provides organised and accurate administrative support across a busy residential block and estate management portfolio, with a particular focus on compliance, property records, documentation and coordination.

Working closely with experienced Property Managers and the wider property management team, you’ll help ensure important information is accurate, up to date and easily accessible, while coordinating inspections, compliance requirements, contractors and associated documentation.

This is a practical support role that would suit someone who is highly organised, detail-focused and confident managing documents, data, deadlines and multiple priorities. You will not be expected to provide specialist legal or technical advice, but you will play an important role in ensuring property management, compliance and administrative processes are handled efficiently and professionally.

Key Responsibilities

  • Provide administrative support across a residential block and estate management portfolio.
  • Maintain compliance registers, trackers, document logs and property records.
  • Assist with preparing and collating legal and property information packs.
  • Coordinate Fire Risk Assessments, Health & Safety inspections, fire door inspections and other statutory surveys.
  • Monitor remedial actions and follow up with contractors, consultants and internal teams.
  • Maintain records relating to fire alarms, emergency lighting, lifts, asbestos, water hygiene, electrical installations and other compliance requirements.
  • Support Property Managers with compliance, planned maintenance, major works and contractor management.
  • Liaise with contractors, consultants and specialist advisors to arrange inspections, request reports and chase outstanding documentation.
  • Assist with contractor appointment processes and ensure relevant insurance, certification and accreditation records remain up to date.
  • Produce compliance reports, management information and updates.
  • Maintain accurate records within property management systems, including Qube.
  • Respond to compliance and property-related queries from residents, leaseholders, directors, contractors and colleagues.
  • Assist with internal audits, external inspections and regulatory reviews.
  • Support the communication of building safety and compliance information to residents and other stakeholders.
  • Help improve internal processes, systems and reporting procedures.

About You

The ideal candidate will have experience in property administration or another strong administrative environment. Previous experience within block management, estate management, leasehold or residential property management would be highly advantageous, but isn't essential.

You'll need:

  • Strong organisational and administrative skills.
  • Excellent attention to detail and accuracy.
  • The ability to manage multiple tasks and deadlines.
  • Strong communication and relationship-building skills.
  • Confidence dealing with residents, contractors, clients and colleagues.
  • Good IT skills, including Microsoft Office.
  • Confidence using business or property management systems.
  • A practical, solution-focused approach.

Knowledge of landlord and tenant legislation, building safety or residential property regulations would be advantageous, as would experience coordinating inspections, contractors or compliance-related activities.
