An opportunity for a Company Secretarial Trainee to join the Group Company Secretariat at White Bear Corporate Services Ltd (WBCS). The role will provide the opportunity to gain hands-on experience in corporate governance and board support. The successful candidate will assist in the preparation and distribution of board and committee papers, maintain statutory registers, and support Companies House filings. This is a fantastic role for an ambitious trainee looking for a career in corporate governance.

Structure and Reporting Relationships: Directly reporting to the Company Secretary whilst maintaining a close working relationship with the Chief Executive Officers, the Executive Directors, and the Chairs, Members of the Group Committees.

Key tasks:

  • Assist with the preparation and circulation of Committee packs.
  • Depending on experience, deputise for the Company Secretary by attending Committee meetings and drafting minutes, as and when required.
  • Assist with the administration associated with the Board and Committees including but not restricted to maintaining annual agenda plans, preparing draft agendas for Committee meetings, collation/formatting of papers, diarising/scheduling of meetings, associated tasks and follow up actions.
  • Assist with statutory compliance for the White Bear Group subsidiaries including updating statutory records and preparing UK statutory forms and filings at Companies House.
  • Maintain an annual timetable of regular Companies House and other key filings to ensure compliance.
  • Maintain the group structure chart and prepare quarterly investor returns.
  • Administration of the White Bear Meeting Place Portal.
  • Assist with the production of quarterly Environmental, Social & Governance (ESG) reporting.

Skills & Qualifications:

  • Proven experience of working within a Company Secretarial department with a desire to build a career in corporate governance (ideally at least 12 months' experience).
  • Experience working within a business supporting the Company Secretarial function.
  • Experience in drafting minutes.
  • Previously drafted and prepared company documentation for filing at Companies House i.e. confirmation statements.
  • Ability to work to deadlines.
  • Excellent attention to detail.
  • Strong organisational skills.
  • Diary management.
  • A team player.
