The Team

You will be joining a small Global Mobility team where everyone has the opportunity to make a meaningful impact. While one person currently manages and is responsible for all travel operations, the team works collaboratively across travel, visas, immigration, processes and policy development to support our global events. No two days are the same, with a mix of operational delivery, problem-solving and continuous improvement initiatives.

Responsibilities

  • Oversee global travel operations for all BLAST events, ensuring efficient, scalable and cost-effective travel solutions.
  • Coordinate complex travel logistics for players, staff, officials, and stakeholders across multiple events and locations.
  • Act as the primary point of contact for flight strategy, routing decisions, re-bookings, cancellations and travel-related escalations.
  • Lead the relationship with BLAST's travel management provider(s), driving service improvements, operational performance and system enhancements.
  • Manage complex travel logistics across multiple events, countries and time zones while ensuring compliance with internal policies and operational requirements.
  • Develop, implement and continuously improve travel processes, policies and workflows to enhance efficiency, traveller experience and cost control.
  • Maintain travel reporting, data accuracy and system development, driving automation and process improvements through tools such as Smartsheet and Melon.
  • Manage travel budgets across all events, ensuring cost control, accurate forecasting and effective booking strategies while balancing operational needs.
  • Partner with Finance, Events, Global Mobility and other internal stakeholders to support event planning, visa requirements and travel operations.
  • Act as the travel subject matter expert for the business, providing guidance, training and support to internal teams and stakeholders.
  • Identify, assess and mitigate travel-related risks, developing contingency plans for complex operational scenarios.
  • Attend key events where required, providing on-site travel support and managing high-volume travel changes and rebooking activity.
  • Own the Travel inbox, answering queries and managing all tasks and admin relating to flight bookings, and redirecting other queries to the correct teams.
  • Other ad hoc duties supporting the wider BLAST events and Global Mobility teams.

Requirements

  • Experience in an administrative capacity, ideally in the travel or events industry.
  • Great attention to detail.
  • Proficient in using online travel platforms and spreadsheets.
  • Strong interpersonal and communication and customer service skills.
  • Ability to manage high-pressure situations and solve problems effectively.
  • Financial acumen with experience managing budgets and cost control.
  • Trustworthy with handling confidential information and data.
  • Flexibility: Willingness to work flexible hours when required, including weekends and holidays during tournaments. Occasionally this role will require international travel for particularly complex events.
