We have a new opportunity for an Archiving Assistant to join our existing team in Southampton (Chandlers Ford). Working in support of our legal teams, the role holds responsibility for ensuring all physical papers, files, deeds, and Wills are archived in accordance with our standard procedures. Given the nature of the role, attendance in the office from 8am – 4pm, Monday to Friday, is required. Key Responsibilities Process new files across various systems and ensure data is updated. Assist with data entry and management of indexing reports, and handle queries accordingly. Assist with auditing deeds/files in relation to historic mergers. Respond to requests received in the Archives inbox, including external queries. Process new wills and deeds on the system and update data accordingly. Manage archiving returns to storage. Verify that returns have been processed correctly in the database and that destruction dates have not lapsed. Update storage company database to facilitate return and collection by third-party contractors. Support ongoing Legacy projects and handle ad-hoc requests. Knowledge, Skills, and Competencies Applicants must demonstrate previous experience in a similar role, with high accuracy and attention to detail. Key attributes include: A positive, enthusiastic, and proactive approach. Excellent organizational skills. The ability to work as part of a team and use initiative. Proficiency with Microsoft Office packages. Flexibility to cover additional hours when required. A \’can-do\’ attitude and willingness to assist. Self-motivation and eagerness to learn and improve.
