We are looking for a reliable and detail-oriented Courier / Document Delivery Coordinator based in Ashford to support the collection, delivery, and handling of documents and packages. This role involves document collection and delivery, route coordination, administrative tasks, and communication with clients and internal teams, ensuring items are handled securely and delivered on time. The position includes regular travel to client locations, embassies, and partner offices, requiring a hands-on approach. The successful candidate will be responsible for tracking deliveries, coordinating schedules, and maintaining accurate records, while supporting the wider operations team. This role is ideal for someone organized, dependable, and comfortable working in a field-based, fast-paced environment.

Duties and Responsibilities

  • Collect daily duties from Ashford office, including run sheets, documents and payment methods required.
  • Deliver all documents to clients and embassies in good order, adhering to all time restrictions and third party requirements.

  • Facilitate payments on the company’s behalf, in the form of card, cheque and cash payments.
  • Maintain an accurate record of all collections and deliveries, ensuring PODs are collected.
  • Take responsibility for the security of documentation and payment methods.
  • Utilise the QR code system in real time to ensure all documents are trackable by the office team and clients.
  • Maintain an accurate record of payments made.
  • Build a strong rapport with clients and embassies.
  • Keep the company vehicle provided clean and maintained.
  • Report any damage, maintenance issues or accidents to line manager.
  • Liaise with the line manager as required through the working day to ensure all collections/deliveries are completed successfully.
  • Any other duties, as requested by management, to support the running of the business.

Education and Qualifications

  • Fluency in written and spoken English.
  • Exceptional communication and interpersonal skills; strong client service mentality.
  • Strong organisational and time-management skills; ability to meet strict deadlines and to adapt to changing circumstances and prioritise work accordingly.
  • Reliable self-starter with desire to show ownership and commitment to role.
