The UK’s premier Access Platform specialist, Blade Access, is looking for a Office Administrator / Operations Assistant

Salary: £26,000-£30,000 per year (depending on experience)
Hours: Monday to Friday, 8:00am – 5:30pm

Due to continued growth, we are looking for an organised and proactive Office Administrator / Operations Assistant to join our busy operations team. This is a varied and fast-paced role where no two days are the same, making it ideal for someone who enjoys working under pressure, solving problems and keeping multiple tasks organised.
This position offers far more than a traditional administration role. You will gain valuable exposure to the operational side of the business, working closely with our planning team, suppliers and operators. For the right candidate, this role provides a genuine opportunity to progress into a Transport/Operational Planner position, with full training and support as you develop your knowledge of HGV/Plant coordination, logistics and operational planning.
The Role
You will play an important role in supporting the smooth day-to-day running of the business. Working alongside the operations team, you will coordinate administrative tasks, maintain accurate records, liaise with customers and suppliers, and help ensure our hire operations run efficiently.
Success in this role requires excellent organisational skills, the ability to prioritise a busy workload, confidence when communicating with customers and colleagues, and exceptional attention to detail.
Key Responsibilities
- Answer incoming telephone calls professionally and efficiently.
- Respond to customer enquiries via telephone and email.
- Update and maintain daily operational spreadsheets using Microsoft Excel.
- Process daily operational logs and maintain accurate records.
- Update internal systems with hire information, customer details and operational updates.
- Liaise with customers, suppliers, transport providers and field operatives.
- Coordinate hotel and accommodation bookings for operators when required.
- Assist with remote audits and compliance documentation.
- Prepare and process customer invoices accurately and efficiently.
- Support the scheduling and coordination of equipment deliveries and collections.
- Monitor outstanding paperwork and ensure documentation is completed correctly.
- Maintain organised electronic and paper filing systems.
- Assist the operations team with general administration and ad hoc duties.
- Provide excellent customer service and represent Blade Access professionally at all times.
About You
We’re looking for someone who is highly organised, motivated and enjoys working in a busy office environment. You’ll be confident communicating with people at all levels, comfortable managing multiple priorities, and take pride in producing accurate work.
- Previous experience in an office administration, operations support or customer service role.
- Excellent communication skills, both written and verbal.
- Professional and confident telephone manner.
- Strong organisational and time management skills.
- Excellent attention to detail and accuracy.
- Ability to prioritise tasks and work effectively under pressure.
- Proficient in Microsoft Outlook, Excel and Word.
- Comfortable learning new software and internal systems.
- Able to work independently as well as part of a team.
- Positive attitude with a willingness to learn and develop.
- Experience within the powered access, plant hire, construction, transport or logistics industry.
- Experience using hire scheduling software.
- Knowledge of invoicing or general office accounts administration.
