The aim of the post is to ensure the charity provides a safe, welcoming and well organised environment for unpaid carers, volunteers, staff and visitors, through effective volunteer coordination, room booking management and day to day building coordination. This post is subject to DBS clearance at enhanced level.

To coordinate volunteers across the organisation and oversee the effective day to day coordination of the charity’s building and room bookings. The role combines volunteer coordination, administrative oversight, building coordination and relationship management to support the delivery of high quality services for unpaid carers.

Key Tasks & Responsibilities
  • Volunteer Coordination
    • Recruit, induct, train and support volunteers across the organisation.
    • Develop positive volunteer experiences that encourage retention and engagement.
    • Match volunteers to suitable roles based on skills, experience and interests.
    • Maintain volunteer records, DBS checks, references and training records in line with organisational policies and GDPR requirements.
    • Act as the main point of contact for volunteers, providing regular communication, supervision and support.
    • Coordinate volunteer rotas where required.
    • Identify opportunities to expand volunteering opportunities within the organisation.
    • Organise volunteer recognition and appreciation activities.
    • Ensure volunteering activity complies with safeguarding, health and safety and organisational policies.
    • Support managers and staff to effectively involve volunteers in service delivery.
    • Take overall responsibility for the coordination of organisational wide volunteer involvement, ensuring that the volunteer policy and procedures are adhered to and reviewed at regular intervals.
    • Attend and participate as required in health, statutory and voluntary sector groups, events or meetings.
  • Centre and Building Coordination
    • Coordinate the day to day use of the building to ensure a safe, welcoming and well organized environment.
    • Manage room bookings, calendars and scheduling for internal activities, external partners and community groups.
    • Act as a key point of contact for room hire enquiries and building users.
    • Ensure rooms are prepared and facilities are ready for meetings, activities and events.
    • Ensure communal areas remain tidy, welcoming and appropriately resourced.
  • Administration and Coordination
    • Maintain accurate records and administrative systems relating to volunteers, bookings and building use.
    • Produce reports and monitoring information as required.
    • Support the organisation of meetings, events and activities.
    • Assist with reception or front of house duties when required.
    • Contribute to organisational communications and promotion of volunteering opportunities.
    • Work collaboratively with staff, carers, volunteers and partner organisations.
  • Other Duties
    • Maintain excellent administration and recording.
    • Work positively and flexibly as part of the team to ensure the smooth day to day running of services for carers.
    • Attend and participate in regular internal staff meetings.
    • Work effectively with BCC colleagues regarding external communications.
    • Attend training courses and events as required.
    • Contribute to the coordination, training and support of volunteers and students within BCC.
    • Work closely with volunteers and students.
    • Work across 7 days, including evening and weekends as required.

Current and valid driving licence and use of own car (required).
