As an Investment Operations Administrator you will support several of our Investment Teams as well as the wider Investment Operations team. Alongside the Investment Operations Manager you will be responsible for ensuring that our products are operationally efficient, and we offer a best-in-class service to our advisers and clients. You will take a lead in administering our products and related model portfolios on the varying Platforms, as well as maintaining Platform relationships. As we look to grow our business, you will be key in helping us onboard to new Platforms, enabling us to expand our services. Your role will also include analysing data and creating reporting for the Investment teams across the business, as well as providing information to the Sales team to assist with adviser and client queries.
Key Responsibilities
- Take a lead on Platform administration, ensuring that our product offerings run smoothly on the Platforms and that the systems remain appropriate for our products.
- Engage in new Platform relationships as well as maintaining existing relationships.
- Set up model portfolios on Platforms using data provided by the Investment Directors.
- Implement investment decisions in the model portfolios and send to the Investment Director/s for final sign off, ensuring that third party systems are also updated.
- Rebalance model portfolios on Platforms on an ad-hoc basis as well as pre-determined frequencies and check their successful execution.
- Carrying out initial and ongoing due diligence on Platforms in line with agreements.
- Liaise with Platforms and Fund Houses to onboard underlying funds where relevant.
- Assist with the creation of reporting including management information, ongoing client reporting and cash reporting.
- Providing breakdowns to our internal account teams to assist with reconciling management fees received.
- Creating, reviewing, and distributing regular literature regarding the portfolios with assistance from the engineering and marketing team to our adviser pool as well as other professional bodies including monthly factsheets, quarterly investment reports and performance data sheets.
- Assist with queries from the sales team and our partner firms, becoming another point of contact.
- Managing internal enquiries from team inbox.
- Undertake all other tasks commensurate with this level of role.
Skills & Experience
- Strong and accurate communication skills, both written and on the phone.
- Extremely accurate with an eye for detail.
- Excellent organisational skills.
- High quality interpersonal skills.
- A good standard of secondary education.
- Computer literate, with a knowledge of Microsoft programmes, as well as the ability to use database and CRM systems.
- Strong and flexible work ethic.
- Self-motivated and tenacious.
- An appetite for learning and their own development.
- Excellent sense of how to prioritise and manage the workload.
- Ability to understand complete processes.
- Have intermediate to advanced excel skills and should be comfortable working with pivot tables and formulas.
- Investment team or Tax Product experience would be beneficial.
Essential Qualifications & Requirements
- Experience in a professional services environment, preferably Financial Services.
- Knowledge of Investment Platforms would also be helpful in the role.
- Have a continuity / business progression focus.
- Hold, or willing to work towards, relevant industry qualification i.e. CF1.
