We are seeking a highly organised, professional Part-Time Secretary / Personal Assistant to support a busy and well-established psychology practice based in the Harley Street area. This is a varied and rewarding role combining administrative, patient-facing, and PA responsibilities. The role is part-time (20 hours per week over 4 days) and would suit someone who is detail-oriented, discreet, and confident working in a fast-paced healthcare environment.
The Role
You will play a key role in ensuring the smooth day-to-day running of the practice while providing high-level PA support.
Key Responsibilities:
- Managing a busy appointment diary and coordinating patient bookings (Cliniko)
- Handling phone calls, emails, and post with professionalism and strict confidentiality
- Providing full PA support, including personal tasks, scheduling, and travel arrangements
- Preparing reports, documents, and medical correspondence
- Supporting bookkeeping tasks, including invoicing, payments, and expense tracking (Xero, Stripe, Hubdoc)
- Maintaining accurate patient records and managing referrals
- Managing inbound patient enquiries with an excellent telephone manner
- Organising files, systems, and office supplies
- Assisting with general practice and office management duties
- Liaising with external professionals such as accountants and medical contacts
About You
- Previous experience as a Secretary, PA, or Administrator (essential), ideally within healthcare
- Highly organised with strong multitasking and prioritisation skills
- Excellent attention to detail and accuracy
- Confident user of Microsoft Office, general IT systems, and AI tools
- Experience with Cliniko (desirable)
- Strong communication skills and professional phone manner
- Able to handle confidential and sensitive information with discretion
