An excellent opportunity has arisen to join a highly respected London law firm as a Deputy General Office Supervisor. This is an office-based role supporting the smooth running of the General Office department, working closely with the General Office Supervisor and providing oversight to the General Office Assistant when required.

We are looking for someone confident, proactive and service-driven, with previous experience working in a law firm’s general office or facilities team, with some supervisory exposure.

The Role

As Deputy General Office Supervisor, you will play a vital part in ensuring the firm’s operational and administrative processes run efficiently. Key responsibilities include:

  • Managing incoming and outgoing Royal Mail, DX and courier services.
  • Handling faxes, ensuring timely delivery to internal teams.
  • Supporting reprographics tasks including printing, scanning, copying and binding.
  • Conducting stationery checks, placing orders and maintaining stock levels.
  • Delivering new joiner inductions in the Supervisor’s absence.
  • Checking and coding incoming invoices accurately and promptly.
  • Maintaining monthly KPI records and ensuring timely submission.
  • Supporting meeting room set-ups and liaising with the Reception team.
  • Assisting with office moves, furniture transfers and maintaining a safe working environment.
  • Supervising the General Office Assistant when required, coordinating daily cover and managing workloads.
  • Providing archiving and records support in the absence of the Records Assistant.

The ideal candidate will be:

  • Experienced with a background in a law firm general office, facilities or similar operational environment.
  • Exposed to supervisory duties, even if informally (e.g., overseeing workloads, coordinating rotas).
  • Skilled with strong organisation and administrative capabilities.
  • Confident using MS Office (Word, Excel).
  • Comfortable with manual handling (moving boxes, furniture etc.).
  • Able to multitask, prioritise under pressure and meet tight deadlines.
  • Detail-oriented with sound judgment and business awareness.
  • Client-service focused with a positive, proactive approach.
  • Reliable, disciplined, and a confident self-starter.
  • Logical, methodical, and able to follow tasks through to completion.
  • Approachable, flexible and collaborative.
