The City of Birmingham is seeking to hire an Event Planner Supervisor to be responsible for managing the operations and overseeing all sport and entertainment-related events and programs for their city's civic center and/or auditorium. Individuals in this job class manage pre-event and post-event activities by consulting with clients, coordinating services, evaluating and selecting providers for events, and ensuring event activities are in compliance with applicable regulations and laws. Event Planner Supervisors act as a liaison with other departments, community groups, and individuals to discuss and promote the various aspects of departmental functions. Employees in this job class also oversee contract negotiations, develop and monitor the budget, and assign and review the work of subordinate staff.

The pay range for this job is listed below: Birmingham $60,486 - $93,828

MINIMUM QUALIFICATIONS: The following are job-related qualifications that are required for employment consideration for this position:

  • Valid driver's license.
  • Experience managing and coordinating events (e.g., concerts, sports games, council/town hall meetings) with external clients and vendors.
  • Experience in venue selection and layout for an event.
  • Experience using software or programs to schedule, plan, or calendar event planning projects and deadlines (e.g., Outlook, Sched, Accelevents).
  • Experience leading event staff in the completion of an event.
  • Experience in event contract negotiation, execution, and management (i.e., working with office of city attorney, stakeholders, taking contract payments).
  • Willingness to work nights, weekends, holidays and extended hours to meet event requirements.

PREFERRED QUALIFICATIONS: The following are job-related qualifications deemed desirable by Merit System agencies. These qualifications may be considered by a hiring agency when reviewing applications and inviting candidates to participate in subsequent steps in the selection processes:

  • Training or coursework in Leadership.
  • Degree or training in Hospitality Management, Business Management or a related field.
  • Experience in sports and/or entertainment management.

TYPICAL JOB DUTIES:

  • Plans, schedules, implements, and oversees all sport or entertainment-related events and programs by managing pre-event and post-event activities.
  • Performs general administrative duties including reviewing/producing reports, letters, and other types of written correspondence, attending meetings, conferences, addressing complaints/concerns, etc. as needed to maintain appropriate documentation, developing of job standards, ensuring up to date processes and the efficient operation of the department.
  • Prepares, monitors, and administers department budget by reviewing event costs, expenditure reports, analyzing financial data, and ensuring expenditures are within annual budgetary limits.
  • Oversees contract negotiation, bid, and maintenance agreements and monitors contract service in order to assist with vendor-user relationship and resolve issues.
  • Supervises staff by assigning and distributing work, directing staff in their job duties, monitoring progress of work, providing feedback and/or training.
  • Acts as liaison with other city departments, community groups, and individuals in order to explain and discuss various aspects of departmental functions.
  • Promotes conferences, conventions and trades show services by performing tasks such as meeting with professional and trade associations, and producing brochures and other publications.

PHYSICAL DEMANDS: Job is primarily sedentary involving sitting for long periods of time, but may involve occasional walking or standing for brief periods.

WORK ENVIRONMENT: Work is performed primarily in an office setting or employer-owned facilities such as auditorium, event space, or athletic facility. Work involves use of standard office equipment, such as a computer, phone, copier, etc.
