Reporting To: Head of Finance

Contract Type: Fixed for 1 year with possibility of extension to Permanent

Location: IHWC, Unit 18, ACE Business Park B33 0LD

Salary: NJC SCP 8, Currently £25,640.76 per annum Pro rata at 21 hours per week, £14,752.21

Working Hours: Part time (21 hours per week)

MAIN RESPONSIBILITIES:

  • Working with the Head of Finance, undertake a range of financial administrative and book-keeping tasks in accordance with relevant procedures. This includes but is not limited to:
    • data input into various Excel Spreadsheets
    • data input into DRC’s Sage Accounting System
    • preparing monthly sales invoices following instruction and monitoring and chasing of debtors
    • banking cash and cheques received
    • payment of invoices following instruction
    • Scanning in PDF copies of invoices into the Sage software
    • operating expense claim procedures and payments
    • Preparing monthly purchase invoices, coding and correct nominal code and departments
    • providing financial support across all DRC’s departmental reporting requirements
  • Provide an accurate ledger clerk function for the business keeping the Sales Ledger Daybook excel spreadsheet up to date with invoice details.
  • Support the production of timely and accurate financial and other analysis reports for the business.
  • Support the production of timely financial claims and returns (including evidence of spend where required) to DRC’s commissioners and funders.
  • Securely maintain all finance related filing systems, entering and retrieving information from electronic databases.
  • Facilitate and attend Finance Working Group and Health & Safety Working Group meetings (which could include sensitive situations) producing outputs in a timely manner.
  • Maintain and update various databases including but not limited to DRC’s Fixed Assets Register and Supplier Contracts and Service Delivery Databases.
  • Seek quotations and/or tenders for the supply of goods and services analysing and comparing costs to achieve maximum value for money.
  • Support the Head of Finance to effectively operate DRC’s outsourced payroll and pension functions ensuring all processes and deadlines are complied with.
  • Respond in a professional and timely manner to payroll, pension and finance-related enquiries raising more complex matters with the Head of Finance.
  • Support the Head of Finance to prepare for the annual audit process providing accurate and timely information as required.
  • Working with the Head of Finance to ensure DRC’s finance function is compliant with statutory and financial audit requirements.
  • Interact sensitively, professionally and maintain confidentiality when dealing with colleagues and customers.

PERSON SPECIFICATION:

Qualifications

  • Essential: Good standard of education including maths and English. Educated to level 3 or equivalent in relevant subjects. Evidence of appropriate training in accountancy.
  • Desirable: Part-qualified AAT, ACCA or similar Degree qualification or equivalent.

Experience

  • Essential: Previous all-round experience of working in a financial administration and/or bookkeeping role. Previous experience of using 1 or more computerised accounts packages for book-keeping purposes. Previous experience of using SAGE. Previous experience of producing and interpreting financial reports and information. Previous experience of assisting with annual audit preparation.
  • Desirable: Previous experience in the charity sector.

Knowledge

  • Essential: Excellent working knowledge of IT including computerised accounts and payroll packages. Good working knowledge of Sage. Good working knowledge of a Finance Department. Good knowledge and understanding of health and safety compliance and commitment to undertake relevant training.

Skills

  • Essential: Ability to set work plans for self and to prioritise and re-prioritise according to business need. Ability to maintain effective financial and management control systems. Ability to monitor own performance and performance of others acting where required. Excellent organisation skills with the ability to meet deadlines and targets. Communicates clearly and can adapt communications to meet the needs of the audience.
