***To support Birmingham Community Healthcare Trust and the city of Birmingham system colleagues and citizens using knowledge of available community services to enable service users’ timely community care/support that is responsive to presenting needs thus also preventing hospital, long term/residential care admissions if appropriate. This involves the liaison/close relations with system colleagues such as health/social care/voluntary sector.
• As a senior team administrator, mentor and provide ongoing support to team administrators demonstrating good verbal, written and electronic communication skills.

• Following up actions from meetings, explaining outcomes of activities and interventions.

• Report any difficulties or problems at an appropriate time to a senior team member.

• Keep accurate and complete records of activities and communications in a manner that is consistent with relevant legislation, policies and procedures.

• Manage often complex/non-complex clinical information accurately and confidentially in a manner which is:

Ø Consistent with individual level of understanding, cultural background and preferred ways of communicating.

Ø Is appropriate to the complexity of the context.

Ø Encourages effective communication between all involved.

Ø Enables a constructive outcome to be achieved.

• Able to manage appropriately delicate or personal information according to Caldicott guidelines and manage communications where skills of tact and diplomacy are needed in situations where people may be upset or angry. Be perceptive to moods and concerns of others.

• information where a range of options and implications have to be considered in signposting or determining priority of caller information. Able to interpret information to understand when to request support from team coordinator/clinical staff in making these judgments or decisions.

• Produce and provide in-house reports on a regular and ad hoc basis for Service Managers. Carry out regular audits for work area.

• Works to agreed standardised referral process in a method of good practice and able to formulate plans to develop the referral process and records.

• Prioritise and organise own work and that of supervised staff using own initiative within the policy and procedures and ensure cover arrangements for the referral line are implemented whenever the post holder is not available.

· Develop and empower all members of your team to perform to high standards and innovate.

· Develop staff knowledge and skills to promote equality and diversity and address inequalities both in employment and service delivery. Ensure specific equality objective are included in PDR’s.

· Develop a culture that ensure that the standards of Improving Working Lives and Investors in People are achieved and maintained for all staff and that staff’s perception about their working lives are measured and improvements made.

· To support the operational team to ensure the relevant systems are up to date and correct to ensure the service requirements are being met and to identify issues insufficient, including inputting of off duty, updating sickness and annual leave on ESR etc

· To deputise in the absence of the Administration Manager.

· Support with recruitment by supporting at interview stage.

· Manage available resources to ensure an efficient and effective administrative service.

· Ensure records relating to managed staff are maintained in line with trust policies.

· To undertake other duties commensurate with this grade of post in agreement with the relevant line manager.
