The Opportunity We are seeking an organised and proactive Events Officer to join our Estates and Facilities team. Reporting to the Commercial Events and Venues Manager, you will play a key role in supporting the planning, coordination, and delivery of a wide range of events across the University campus. This varied role offers the opportunity to work on everything from research and engagement events to sporting and high-profile stakeholder activities, ensuring each event is delivered professionally, safely, and to a high standard.

Key Responsibilities

  • Support the planning, coordination, administration, and delivery of a diverse portfolio of University events.
  • Provide expert advice and guidance to colleagues across the University to ensure a consistent and professional approach to events.
  • Develop and maintain project plans, schedules, and logistical frameworks to support successful event delivery.
  • Conduct risk assessments and ensure smooth on-the-day operations, resolving issues quickly and effectively.
  • Build and maintain strong relationships with internal teams, external suppliers, contractors, and partners.
  • Coordinate bookings, liaise with event organisers and attendees, and ensure event details are clearly communicated.
  • Maintain event calendars, team diaries, and key deadlines.
  • Prepare event documentation, including supplier contracts, insurance information, and support materials.
  • Ensure compliance with University policies, legal requirements, and event-related regulations.
  • Work closely with Security colleagues to support compliance with the Terrorism (Protection of Premises) Act (Martyn’s Law), including coordinating Prevent event data collection.
  • Use databases and CRM systems to manage relationships, budgets, suppliers, and reporting requirements.

What We’re Looking For

  • Previous experience in a customer service, events, or office-based environment.
  • Experience of organising events, ideally within a Higher Education or similarly complex organisation.
  • Strong administrative skills, including diary management, record keeping, and coordination.
  • Excellent organisational skills with the ability to prioritise tasks and work on your own initiative.
  • Confident and effective communication skills, both internally and with external clients and contractors.
  • Good IT skills, including experience with Microsoft Office.
  • A flexible, calm, and solutions-focused approach, able to respond effectively to changing priorities.
  • Willingness to work evenings and occasional weekends to support University events.
