About Birmingham City University

At Birmingham City University, we are a diverse and inclusive learning community of over 31,400 students from more than 120 countries. We aim to become an exemplar anchor institution, creating and sharing knowledge for a better and more inclusive society. We are committed to providing a transformational educational experience, supporting world-class research, and fostering a collaborative and supportive working environment for our staff.

Recognised as one of the UK’s Top 250 employers (Financial Times & Statista), we pride ourselves on being a place where colleagues feel valued, supported, and able to grow their careers while contributing to the success of our students and communities.

Our student demographic reflects the rich cultural and ethnic diversity of Birmingham itself, with a significant proportion of students from minoritised ethnic backgrounds and the majority of our home students coming from the West Midlands. This diversity is a strength, and it calls for a workforce that is equipped to challenge deficit narratives and thinking — those assumptions that position students from underrepresented groups as lacking rather than recognising their assets, strengths and potential.

By embracing this perspective, we aim to create an environment where all students and colleagues can thrive, and where our work contributes positively to the social, cultural and economic life of Birmingham and beyond.

Role Summary

We are seeking an experienced project manager to manage the institutional implementation of the University’s Retention of Assessed Work Policy, ensuring compliance with the Office for Students (OfS) requirements relating to the retention and retrieval of assessed work.

Working on behalf of the Director of Quality Assurance and Enhancement, the postholder will manage the timely delivery of the project through to completion by coordinating academic and professional service stakeholders, developing institutional processes, supporting the implementation of technical solutions, embedding governance and audit arrangements, and ensuring sustainable compliance across all areas of the university.

Please note this is a 12 month fixed term position operating on a pro rata basis of 18.5 hours per week.

Key Responsibilities

  • Lead the delivery of the University's Retention of Assessed Work project, ensuring successful implementation from inception through to completion. Manage project plans, risks, dependencies and governance arrangements to achieve agreed objectives
  • Develop, implement and continuously review institutional policy, procedures and guidance relating to the retention of assessed work. Ensure roles, responsibilities and processes are clearly defined and consistently applied across the University and its collaborative provision
  • Provide expert advice on regulatory requirements and ensure ongoing compliance with Office for Students expectations and Conditions of Registration. Establish effective assurance and audit mechanisms to monitor compliance and drive continuous improvement
  • Build and maintain effective relationships with academic, professional service and IT colleagues to support implementation and institutional ownership. Coordinate cross-University activity to deliver sustainable solutions for the storage, retrieval and management of assessed work
  • Produce reports, guidance, training and management information to support decision-making and successful policy implementation. Embed long-term governance, monitoring and review arrangements to ensure compliance is maintained beyond the life of the project
  • Degree-qualified with a recognised project management qualification (e.g. PRINCE2 or APM), or equivalent professional experience
  • Proven experience of leading complex projects in a higher education environment, working across multiple teams and stakeholders
  • Strong understanding of higher education regulation, academic governance and quality assurance, with the ability to translate requirements into practical solutions
  • Experience of developing policies, processes and compliance frameworks, including risk management, monitoring and continuous improvement activities
  • Excellent communication, stakeholder engagement and IT skills, with the ability to influence others, produce high-quality reports and use a range of project management and digital tools effectively
  • Strong problem-solving, analytical and organisational skills, with the ability to manage competing priorities, work under pressure and maintain a high level of accuracy and attention to detail.
  • Excellent interpersonal and team-working skills, with the ability to build effective relationships, coordinate activities and motivate colleagues and stakeholders at all levels
