The team you will join: Our Risk and Compliance team sits within our wider Business Services Division and is responsible for ensuring that the firm retains accreditation against the Law Society’s Lexcel and Conveyancing Quality Scheme Standards, and manages the internal audit processes to ensure this. They also provide support to other internal audit functions within the firm through assessing upcoming regulation and high-risk corporate issues.
The work you will be doing: Birketts LLP is currently undertaking a firm-wide transformation of its CDD/AML and client and matter intake processes, centred on the Intapp Intake platform. Responsibility for administering and configuring Intapp is presently distributed on an ad hoc basis across Risk & Compliance, IT and Business Change & Projects. This role is being created to consolidate ownership to a single owner accountable for the platform's design, performance and roadmap; ensuring Intapp is configured to reflect the firm's risk-based approach to client and matter due diligence and provide a consistent point of contact for the business as adoption of the platform matures.
The purpose of this role is to own, administer and continuously improve the firm's Intapp platform, ensuring it supports efficient, compliant client and matter onboarding, and to act as the primary link between Risk & Compliance, IT, BD and the wider business on all matters relating to Intapp.
Key responsibilities:
- Act as the firm-wide owner of the Intapp platform (Intake, and other Intapp modules as adopted), consolidating responsibility currently spread informally across Risk & Compliance, IT and BC&P.
- Own workflow design, form configuration, user permissions, risk scoring rules and integrations within Intapp Intake, ensuring the system reflects current CDD/AML policy and the firm's risk appetite.
- Act as first point of escalation for Intapp queries and issues from fee earners, the CDD/AML team and business support, coordinating fixes with Intapp's support desk OR managed services partner where required.
- Translate process improvements identified through the CDD/AML and Intake transformation workstream into system changes; manage a prioritised backlog of enhancements.
- Maintain data integrity within Intapp, produce and refine management information and KPI dashboards on Intake turnaround, CDD/EDD backlog and matter opening performance. This role will work closely with the Business Intelligence team.
- Build effective working relationships with Risk & Compliance (including the MLRO and COLP), IT, BD, Finance and practice group leaders to align Intapp configuration with their needs.
- Design and deliver training and guidance materials for fee earners and business services staff, driving consistent adoption of Intapp across all five offices.
- Act as the firm's day-to-day relationship holder with Intapp, managing upgrades, release notes, support tickets and the product roadmap.
- Ensure Intapp configuration and workflows remain aligned with SRA requirements, AML regulations and the firm's risk and compliance policies, working closely with the MLRO.
- Support wider rollout of additional Intapp modules (e.g. Walls, Terms) as the firm's requirements evolve, working within the transformation programme governance.
Please note that this job profile is not an exhaustive list of duties but merely an outline of the key components of the role. You may be required by your line manager to take on additional responsibilities when requested.
What we are looking for:
- Proven experience administering or managing Intapp products (Intake essential; Walls, Terms or DealCloud advantageous), ideally gained in a law firm or other professional services environment.
- Sound understanding of CDD/AML/KYC processes, including UBO identification, PEP and sanctions screening, and EDD requirements.
- Strong stakeholder management skills, able to work confidently with partners, fee earners, Risk & Compliance and IT.
- Experience translating business and regulatory requirements into system configuration and workflow design.
- Analytical mindset, comfortable interrogating data and producing clear, actionable MI.
- Excellent written and verbal communication skills, including the ability to produce training materials and user guidance.
- Self-starter capable of working with a good degree of autonomy while keeping stakeholders aligned.
- Prior experience in a legal or regulated professional services firm would be advantageous.
- Familiarity with practice management or finance systems (e.g. Elite 3E, Aderant) and how they interface with Intapp.
- Experience supporting a business change or transformation programme desired.
- Relevant professional qualification (e.g. ICA, project management) or audit/risk background.
