Birkbeck, University of London, is seeking an Administrator to support the activities of the Birkbeck-UCL Centre for Neuroimaging, a cross-institutional MRI centre established in 2006, located in the heart of Bloomsbury, London. Working across Birkbeck, UCL, and a wider partner community, you will take lead responsibility for centre organisation and administration, including finances and billing, projects set-up and administration, training organisation, facilities oversight, and essential documentation.

A major part of the role is managing income from scanner hire and processing charges for all projects delivered through the Centre. This includes calculating charges and invoicing within Birkbeck and UCL, billing external customers, processing staff expense claims, and liaising with Finance to resolve queries.

Responsibilities:
  • Monitor centre accounts at Birkbeck and UCL and provide financial reporting to the Director and the Steering Committee as required.
  • Maintain and update the BUCNI website regularly, ensuring the BUCNI research community is informed of developments.
  • Manage scheduling, invoicing, and organisation of MRI operator training and user training safety software.
  • Oversee the online safety training system, including registration of new safety-trained users, arranging refresher sessions (online and in person), and maintaining up-to-date records.
  • Coordinate BUCNI weekly meetings, steering groups, and monthly project presentations, while maintaining comprehensive records for ongoing and past projects, including ethics, project approval, hours, agreements, and revisions.
  • Assure scanner suite readiness, manage supplies, maintain console rooms and reception areas, and lead contractual obligations and entitlements relating to Siemens Healthcare.
  • Coordinate service contract payments, maintenance visits, and support tender and procurement activity for scanner replacement, upgrades, and additional services and equipment.

Salary and benefits: Actual £17,414 rising to £19,491, pro-rated £34,827 rising to £38,981 per annum, FTE (Grade 5 of the College's London Pay Scale, including a consolidated London Weighting Allowance).
