Birchwood Medical Centre is seeking a conscientious, flexible and reliable part-time office administrator who can support the efficient running of a busy general office. This is a part-time post working 16 hours per week as follows:
- Monday 9.00 am - 5.30 pm (with one hour lunch break)
- Thursday 9.00 - 1.00 pm
You will also be required to work additional hours to cover for absent colleagues.
Main duties of the job:
The role will include, but is not limited to, dealing with patient queries, both on the telephone, via email and at the reception desk, raising repeat prescription requests on the computer, registering and de-registering patients and dealing with home visit and online consultation requests.
The successful applicant will have excellent customer service and telephone skills, be enthusiastic and organised, with excellent computer skills. They must be flexible and able to adapt to change and have the ability to work as part of a team or alone with minimum supervision and be able to multi-task in a busy environment.
About us:
Birchwood Medical Centre is a busy GP practice with 11,000 patients. We have 3 GP partners and 7 salaried GPs, a nurse clinician, practice nurses, a nursing associate, HCA/phlebotomists and an expanding complement of ARRs staff. Our administrative team consists of receptionists, administrators, scanning/coding administrators and medical secretaries. We strive to deliver the best care at all times for our patients whilst providing a friendly, caring environment for both our patients and staff.
Job responsibilities:
Knowledge and Skills:
- Able to show initiative in approach to work
- Can liaise with members of the Primary Health Care Team, has effective interpersonal skills

Main Duties and Responsibilities:
- Assist with raising and issuing repeat prescriptions
- Dealing with prescription enquiries over the telephone, face to face or via email
- Dealing with patient enquiries face to face
- Register new patients with the practice
- Provide medical records to Primary Care Support when patients have left the practice
- Deal with incoming and outgoing medical records via Primary Care Support
- Dealing with patient requests for home visits by the doctor
- Dealing with patient telephone, email or System Connect admin queries
- To be flexible in approach to work and provide cover at times of holidays and sickness
- Any other duties you may reasonably be asked to perform from time to time
Qualifications:
GCSE grade C or above in English and Maths
Experience:
- Experience of dealing with patients/public
- Experience of working in general practice or a healthcare environment
- Good interpersonal and communication skills
