The ideal candidate should possess excellent communication, organizational, and time management skills. This role requires managing the Director's daily schedule, coordinating meetings, handling official correspondence, maintaining confidential records, and ensuring smooth execution of day-to-day business and administrative activities.

Candidates with prior experience as a Personal Assistant, Executive Assistant, Executive Secretary, or Administrative Coordinator will be given preference.

Key Responsibilities:
  • Manage the Director's daily calendar, appointments, meetings, and travel schedules.
  • Handle emails, phone calls, business correspondence, and official communications.
  • Coordinate meetings, prepare agendas, record meeting minutes, and ensure timely follow-ups.
  • Prepare reports, presentations, letters, business documents, and MIS reports.
  • Maintain and organize confidential files, official records, and important documentation.
  • Coordinate with internal departments, clients, vendors, government authorities, and external stakeholders whenever required.
  • Assist the Director in planning, organizing, and executing daily business activities and strategic initiatives.
  • Track ongoing tasks, monitor deadlines, and ensure timely completion of assignments.
  • Arrange business meetings, conferences, official visits, and travel plans.
  • Maintain a high level of professionalism, discretion, and confidentiality while handling all official and personal information related to the Director.
  • Handle confidential business discussions, sensitive documents, personal conversations, and privileged information with complete confidentiality and integrity.
  • Be available to provide executive support during official meetings, business visits, and other organizational activities whenever required.
  • Perform any additional executive, administrative, or personal assistance responsibilities assigned by the Director.
Qualification:

Graduate in any discipline. Additional qualifications in Business Administration, Office Management, or Secretarial Practice will be an added advantage.

Experience:

Minimum 2-5 years of experience as a Personal Assistant, Executive Assistant, Executive Secretary, or Administrative Officer.
