BIMBox is a Manchester-based digital construction consultancy with over a decade of experience and a reputation for clarity in a complex field. As BSI Associate Consultants, we support estate owners, contractors, architects and consultants to leverage the full benefits of digital construction. We offer nine core services: Information Management, BIM Coordination, 3D Modelling, Asset Data & COBie, ISO 19650 Consultancy, Organisational Digital Transformation, GIS Consultancy, Point Cloud Scanning and Research & Development. Working across sectors including education, infrastructure, defence, commercial, leisure, residential, justice and rail.
As demand for our services continues to grow, we are recruiting a Proposal Manager to take ownership of how we respond to opportunities, from first enquiry through to signed engagement, and to help us steadily improve our win rate.
The Role
The Proposal / Bid Manager will be the first point of contact for inbound enquiries, the conductor of every proposal we send out, and the person who makes sure our written work, from bid responses to supporting marketing materials, is consistently clear, on-brand and persuasive. You will combine a warm, dynamic, client-facing manner with the organisational discipline needed to keep multiple bids moving in parallel, and you will use data and feedback loops to lift our success rate. You will work closely with the Managing Director, Directors, Marketing Manager, Business Development Manager and Technical Leads, acting as a central point of coordination. Alongside our technical experts, you will assess bid requirements and translate their expertise into proposals that read with clarity and confidence.
Key Responsibilities
- Inbound enquiry handling: Act as the first point of contact for all inbound enquiries via email, web, phone and referrals, responding promptly, professionally and in the BIMBox tone of voice. Qualify opportunities against our defined service streams and ideal client profile, gathering scope, budget, timelines and decision-makers details before routing to the right service lead. Maintain a single source of truth for live enquiries so nothing falls through the cracks.
- Proposal production: Own the end-to-end proposal process: kick-off, content planning, drafting, review, design, sign-off and submission. Write, edit and proofread compelling, client-specific proposals, expressions of interest, capability statements, PQQs, ITTs and tender responses across public and private sector work, ensuring the structure and language persuasively convey our offer to the customer. Produce polished, on-brand documents and supporting marketing materials using Adobe InDesign and the Microsoft 365 suite (Word, PowerPoint, Excel, SharePoint, Teams). Coordinate input from the wider team, chasing where needed and protecting submission deadlines. Build and curate a reusable content library of project case studies, team CVs, credentials, ISO 19650 methodology, accreditations and boilerplate, keeping it current and easy to use. Ensure every submission is compliant, on-brand and delivered on time, with a final quality check before anything leaves the building.
- Tracking, reporting and pipeline visibility: Track the status of every proposal from initial enquiry to eventual outcome, with clear ownership, actions and deadlines. Maintain proposal and pipeline data in our CRM and project tools, producing weekly status updates for the leadership team. Capture win/loss data, client feedback and reasons for outcome, and feed it back into the business.
- Continuous improvement and win-rate uplift: Run structured win/loss reviews and translate findings into improvements in messaging, pricing, content and process. Refine templates, bid library responses and service descriptions, ensuring each submission is faster to produce and stronger than the last. Proactively adopt technological advancements, including AI tools. Improving proposal quality, efficiency and consistency, while keeping a human eye on accuracy, tone and confidentiality. Stay close to Information Management standards (ISO 19650 and the wider digital construction landscape) and public procurement trends so our proposals speak the client’s language. Represent BIMBox positively in all written, verbal and in-person interactions with prospective clients. Support client presentations, bid interviews, clarification calls, site visits and follow-up communications, ensuring a seamless handover to the delivery team after award. Represent BIMBox professionally at industry and trade events (if required).
Essential Skills and Experience
- Proven experience managing proposals, bids or tenders, in a professional services environment; Experience within the construction/engineering/architecture sector would be beneficial.
- Outstanding written English with a sharp eye for clarity, structure, attention to detail and persuasive storytelling – plain speaking is one of our drivers.
- Highly organised and deadline-driven, comfortable managing multiple priorities in parallel without dropping the detail.
- Confident, positive, personable and dynamic when dealing with clients, partners and senior internal stakeholders, bringing energy and emotional intelligence to every interaction.
- Proactive and solutions-focused, calm under pressure and comfortable working at pace.
- Strong working knowledge of Adobe InDesign for producing high-quality, on-brand documents.
- Confident user of Microsoft 365: Word (styles, templates, track changes), PowerPoint, Excel, SharePoint, OneDrive and Teams.
- AI-literate, embracing modern AI assistants to draft, research, edit and analyse, with sound judgement about when to lean on them and when not.
- Numerate and analytical, able to track pipeline metrics and report on conversion, value and win rate.
Desirable Skills and Experience
- Construction Industry Experience.
- Familiarity with BIM, Information Management and ISO 19650, we are happy to upskill the right person.
- Working knowledge of CRM platforms (Capsule, HubSpot, Salesforce, or similar).
- Light graphic design or diagramming skills (Adobe Illustrator, Photoshop, Visio, Miro or similar).
